Job Overview
We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations by managing administrative tasks, ensuring smooth office management, and providing exceptional customer service. This position requires proficiency in various software applications, including Google Suite and QuickBooks, along with strong time management skills to effectively handle multiple responsibilities.

Responsibilities

Provide administrative support to ensure efficient operation of the office.
Manage scheduling, appointments, and correspondence for team members.
Perform data entry tasks accurately and promptly.
Maintain organized filing systems for documents and records.
Assist in bookkeeping tasks using QuickBooks, including invoicing and tracking expenses.
Handle customer inquiries and provide excellent customer service, both in-person and over the phone.
Support office management duties, including supply inventory management and equipment maintenance.
Collaborate with team members to improve processes and enhance productivity.

Qualifications

Proficiency in Google Suite (Docs, Sheets, Calendar) is required.
Experience with QuickBooks is preferred but not mandatory.
Strong time management skills with the ability to prioritize tasks effectively.
Previous experience as a dental or medical receptionist is a plus.
Excellent customer service skills and a friendly demeanor.
Strong attention to detail and organizational skills are essential for success in this role.
Familiarity with general administrative duties and office management practices is advantageous.

Responsibilities Include:

Communicating with customers, sending quotes, scheduling jobs
Managing the service calendar and keeping teams booked efficiently
Creating and posting content on Facebook & social media
Collecting before-and-after photos from crews and sending invoices
Ordering and managing inventory across all departments
Assisting with payroll: collecting weekly work reports and preparing payouts
Helping manage event logistics for Rocky Top Power Run (sponsor coordination, signups, etc.)
Supporting the owner with day-to-day administrative and scheduling need

Ideal Candidate Has:

Strong organizational and multitasking skills
Great communication and customer service abilities
Experience with scheduling software, spreadsheets, and social media tools
A self-starter attitude — you’re not afraid to take initiative
Interest in marine, auto, or motorsports industries is a plus
Willingness to learn our detailing and repair processes
