Summary:
The Office Administrator will be the sole administrative personnel responsible for managing the office’s day-to-day operations. This role combines responsibilities from tax administration, administrative assistance, reception, office management, and coordinating office events and activities. The ideal candidate will be highly organized, detail-oriented, and capable of handling multiple tasks efficiently.
Key Responsibilities:
Tax Administration:
Provide administrative support to tax professionals, including managing calendars, scheduling appointments, and coordinating meetings.
Assist with tax return assembly and processing, including organizing client documents, preparing engagement letters, and tracking filing deadlines.
Organize, scan, and process tax-related paperwork efficiently.
Manage the scan and autoflow process for client documents used by tax preparers.
Handle IRS correspondence and process all certified and UPS/FedEx mailings to clients regarding tax documents.
Administrative Assistance:
Perform clerical duties such as typing, copying, and binding financial statements, preparing them for delivery to clients.
Prepare engagement letters for signature and maintain client information databases.
Compose emails, memos, and correspondence for transmittal to clients.
Assist with special projects and other duties as assigned by supervisors.
Reception:
Answer and place telephone calls quickly, efficiently, and courteously using a multi-line telephone system.
Greet clients professionally and friendly as soon as they arrive in the office.
Schedule appointments, conferences, and meetings with clients for office personnel.
Maintain the reception area, including conference rooms, and handle incoming and outgoing mail and shipments.
Office Management:
Maintain electronic and physical filing systems to ensure accurate and timely documentation of client records and correspondence.
Ensure the office is well-maintained, organized, and stocked with necessary supplies.
Coordinate with Property Management for office maintenance, new staff, firm records.
Provide support to the Principal / Senior Manager In Charge as needed.
Fun Committee Coordination:
Plan and organize office events, activities, and celebrations to promote a positive and engaging work environment.
Coordinate team-building activities and social events to enhance employee morale and collaboration.
Qualifications:
Exceptional client service skills with the ability to develop and maintain outstanding client relationships.
Strong organizational skills and attention to detail, with the ability to prioritize and manage multiple tasks effectively.
Proficiency in MS Office, Wolters Kluwer / CCH Suite, Checkpoint, and other relevant software.
Excellent communication and interpersonal skills to collaborate with individuals at all organizational levels.
Experience in a fast-paced, deadline-driven environment, particularly during tax season, is preferred but not required.
Ability to handle confidential information with discretion.
Experience & Education:
1-3 years of experience in administrative roles, preferably in a tax or accounting environment.
High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
