POSITION SUMMARY

We are looking for an Administrative Assistant to assist in managing our office on a daily basis and to perform a variety of administrative and clerical tasks. As an administrative assistant, you will be the first point of contact for our company. Duties include offering administrative support across the organization. To be successful in this role, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with obstacles and concerns in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.

PERFORMANCE OBJECTIVES

● Answer, screen and forward incoming phone calls

● Organize office and assist associates in ways that optimize procedures

● Sort and distribute communications in a timely manner

● Create and update records ensuring accuracy and validity of information

● Monitor level of supplies and handle shortages

● Resolve office-related malfunctions and respond to requests or issues

● Coordinate with other departments to ensure compliance with established policies

● Maintain trusting relationships with suppliers, customers, and colleagues

● Provide administrative support to Director of Operations

● Responsible for calendar management and scheduling meetings

● Assisting with on and off-site meetings, travel arrangements

● Assist with general facility requests to maintain a clean and safe working environment.

● Data entry, maintaining appropriate filing systems

● Verify Expenses and log spending data

● Assist Management with Payroll Processing

● Performs other duties as required

EDUCATION AND EXPERIENCE

● High school diploma or general education degree (GED) required;

● College degree preferred

● 2-3 years Administrative or Office Support Experience

● Proficient computer skills, including Microsoft Office, Zoom conferencing.

● Strong verbal and written communication skills.

● High degree of attention to detail.

● Ability to multi-task

● Working knowledge of general office equipment helpful

● Capable of working independently with routinely shifting demands.

PHYSICAL REQUIREMENTS

● Exerting up to 10 pounds occasionally or negligible weights frequently

● Ability to be seated for long periods of time

● Continuously requires vision, hearing, twisting, and talking.

● Frequently requires standing, fine dexterity, sitting, and handling.

● Occasionally requires walking, lifting, carrying, reaching, kneeling, pushing/pulling,

bending, and crouching.
