Responsibilities

This position is the primary Front Office Coordinator and first point of contact for the Columbia River Inter-Tribal Fish Commission (CRITFC). The Front Office Coordinator is the first impression for the organization and prospective candidates will need to be comfortable working on the front lines of public perception and reputation. To be successful as the Front Office Coordinator, staff must maintain a high level ofprofessionalism, both in appearance and etiquette, as this is also a customer service role.

The primary responsibilities of the Front Office Coordinator will be to open the office each business day, answer and route incoming telephone calls to appropriate CRITFC staff, receive and distribute facsimiles/mail, and greet commissioners, guests, and staff members.

The position also provides clerical assistance, as available, to CRITFC staff members. This support includes, but is not limited to, filing, typing, and project assistance.

Responsible for opening the CRITFC office and activating the Front Office systems (phones, computer, email, etc.) promptly at 8:00 a.m. every weekday morning and at 7:30 a.m. on Commission meeting days. Ensures the elevator lobby is monitored for employees and guests arriving early.

Responsible for answering and routing all incoming calls received through CRITFC’s main telephone line by operating a multi-line system; records and takes accurate messages using proper telephone etiquette and protocols.

Responsible for greeting all visitors (including tribal commissioners, governmental dignitaries, and staff members), assuring their comfort by memorizing names and titles, arranging for proper seating in the lobby, and notifying employees or Administrative Assistants of guest arrival.

Responsible for preparing and updating the electronic staff list which provides information about schedules and the whereabouts of each CRITFC employee. Requires familiarity using intranet entries. May require calling individual employees as needed.

Responsible for assisting staff with scheduling CRITFC conference rooms by utilizing the scheduling calendar in Outlook. Also responsible for reserving the OED GSA shared vehicle using the internal reservation system.

Accountable for monitoring Front Office email accounts and responding in a timely manner to requests.

Responsible for maintaining, tracking and reconciliation of equipment reservations, parking passes, Tri Met Hop Pass cards, and OED vehicle keys.

Responsible for opening, date stamping, and distributing CRITFC incoming mail. Responsible for receiving and distributing all incoming facsimiles to the appropriate staff member or department.

Responsible for assisting staff withshipping and receiving.

Responsible for keeping the CRITFC lobby and reception area clean and orderly, and for reporting repair service needs to Operations/Finance department contact.
