Job Overview

The Front Office Coordinator will perform a range of clerical and administrative functions to provide assistance and support to multiple departments.

Reports To

The Front Office Coordinator reports directly to the Office Manager.

Responsibilities and Duties

Office opening and closing procedures

Answer inbound telephone calls- take detailed messages and forward to the appropriate department

Greet and assist guests upon arrival

Draft correspondence, weekly schedules, pricing proposals and other documents using Microsoft Office

Collect earnest deposits, create receipts and scan into Dropbox

Scan and upload invoices/documents to electronic filing system (Dropbox)

Schedule appointments and other business-related inspections

Filing, daily mail distribution

Request utilities for new projects for Sharp Homes

Check on status of utilities as needed

Verify homeowners have transferred utilities after closing

Compile, disburse and send mailings

Scan updated subcontractor insurance certificates

Print and email plans as needed

General office upkeep including ordering and stocking office and kitchen supplies, watering plants, monitor Keurig for water, taking out trash, etc.

Perform all other office tasks as needed as support to all other office staff and multiple companies

Prepare closing packets for closings on new construction homes

Request paint packets from Spectrum (Benjamin Moore)

Order office supplies (as needed)

Warranty administration in partnership with ProHome

Schedule preclose walks and create red folder for job folder

Send reminders to contractors

Other clerical duties as needed to provide assistance to Office Staff and Superintendents

Qualifications:

High School Diploma

Proven work experience as a Front Office Manager or similar role.

Proficient in Microsoft Office Suite (Word, Excel, Outlook)

Excellent phone etiquette and ability to manage multiple phone lines.

Strong organizational skills with the ability to prioritize tasks.

Knowledge of office management systems and procedures.

Ability to multitask and work efficiently under pressure.

Punctual and dependable

Compensation & Benefits

Full-Time

$16.00 – $20.00 per hour, based on experience and qualifications

401(k) with up to 4% Company Match of Employee’s 5% Contribution

One-Week Paid Time Off first year (Available after 90 days of service; PTO offset between Office Manager)
