Responsibilities:
Greet and Welcome Visitors:
Warmly welcome and assist visitors, clients, and employees as they enter the office.
Ensure a professional and hospitable atmosphere at the front desk.
Answer and Direct Incoming Calls:
Manage a multi-line phone system, answer calls promptly, and direct them to the appropriate person or department.
Take accurate messages when necessary.
Receive and distribute incoming mail, packages, and deliveries.
Coordinate outgoing mail and courier services.
Maintain Reception Area:
Ensure the reception area is neat, organized, and presentable at all times.
Monitor and manage office supplies and replenish as needed.
Schedule and Coordinate Meetings:
Assist in scheduling and organizing meetings, appointments, and conference room bookings.
Coordinate with various departments to ensure smooth scheduling.
Assist with Administrative Tasks:
Support various administrative functions, including data entry, filing, and record-keeping.
Collaborate with other departments to provide administrative support as needed.
Provide Information:
Offer information about the company, products, and services to visitors and callers.
Direct inquiries to the appropriate department or personnel.
Qualifications:
High school diploma or equivalent; additional
education
or certification is a plus.
Proven experience as a Front Office Executive or similar role.
Proficient in MS Office (Word, Excel, Outlook).Excellent
communication
and interpersonal skills.
