Overview
The Administrative Assistant should be seen as a bridge between the Executive Team and the Administrative and Advisor Support Teams. They must be able to support the Executive Team, mainly our CEO, with administrative tasks including but not limited to managing client correspondence and scheduling, supporting Executive projects, and managing client and business partner relationships. They will spend much of their time on the phone cultivating relationships, telling the Waystone story, and answering important questions for both business and client needs, while also managing the inbox and schedule of our CEO on a daily basis. This role will rely heavily on detailed and thorough organizational systems and documentation, in addition to creativity and follow-through when solving problems.

Duties

Support the Executive Team, primarily our CEO, with scheduling and communication requests involving both clients and business partners, while holding boundaries around time management.
Coordinate necessary meetings that are required for the CEO to continue to perform at their highest capacity.
Act as a liaison between the Executive Team and internal support teams to ensure that company needs are being addressed in a discrete and timely manner.
Collect and prepare documents as requested for client meetings, company conferences and events, and business partnership opportunities.
Be able to multitask efficiently, prioritizing tasks that are directly linked to company growth and goals.

General Administrative

Answer phone calls and email communications on behalf of CEO.
Maintain electronic client & business files related to the Executive Team and Waystone Advisors.
Submit invoices and receipts to the Finance Team for any company events or purchases, as needed.
Update processes/procedures related to the Administrative Assistant position.

Business Development

Schedule introductory and ongoing meetings with business partners.
Support collecting required documentation for vetting new potential business partners.
Schedule and coordinate necessary business retreats for the CEO on a quarterly basis.
Support with ordering supplies or food for in-person meetings with CEO, as requested.

Skills

Proficient in industry-related software (Zoho CRM, eMoney preferred).
Advanced computer skills (Microsoft Office, Excel, PowerPoint).
Strong oral, written, and interpersonal communication.
Professional demeanor and appearance.
Ability to maintain confidentiality and integrity.
Strong follow-up skills and self-motivation.
Energetic, eager to learn, and adaptable.
Strong work ethic and ability to prioritize time.
Ability to assess priorities of incoming projects to set proper expectations with Executive Team on timelines and support needs required.
Confidence to “coach upwards” to Executive Team when needed.
Quick adaptability and problem-solving skills.
Strong ability to pivot between tasks and delegate support tasks as appropriate.
Ability to adjust perspective to effectively communicate through the tone of the Executive Team, both internally and externally.
Project Coordinator or Project Manager experience preferred.

Pay: $60,000.00 – $65,000.00 per year
