Administrative Assistant II

Location: Silver Spring, MD

Insignia Federal Group is currently seeking four (4) experienced Administrative Assistants to provide support services to a military research program. The ideal candidates will have a strong organizational background with a demonstrated ability of record management, logistical planning, writing, editing, and communications with government personnel.

In this role, the successful candidate will work with other Administrative Assistants to:

· Set up and maintain records management and disposition system for irrigation files.

· Arrange weekly meetings and conferences. Logistics will also include notetaking, transcribing and distributing meeting minutes.

· Review and edit work products and communications by identifying appropriate grammatical usage and stylistic forms and referring questions regarding content to the originator.

· Gather, collect, record, and verify data from multiple sources. The contractor will utilize SPS, DAU, Microsoft Outlook, and Internet Explorer for market research purposes and solicitations through GSA eBuy and SAM.gov, to compile and generate reports, statistics, timelines, tables, graphs, correspondence, and presentations.

· Manage, review, and maintain accurate file plan requirements in accordance with governing policies. Specific tasks include: (1) safeguarding the Command’s compliance of all filing, disposition, and electronic records protocols; and (2) routinely coordinating with designated Record Management Coordinators & Record Custodians to ensure Directorate/ Departmental awareness of files; (3) creating ADHOC manpower reports as required; and (4) routinely compiling, maintaining and providing accurate activity manning documents (AMD) for Command Leadership awareness; and (5) creating, managing and archiving Command- created forms.

· Will produce bi-weekly administrative reports.

Required Qualifications:

· Ability to successfully undergo a background investigation that requires U.S. citizenship.

· Minimum of an Associate’s Degree in any field of study or at least three years of experience with management and administrative services.

· Demonstrated written and oral communication skills.

· Demonstrated ability to work independently and as part of a team.

· Has established, professional knowledge and skills specified to the subject matter.

· Proficiency with Microsoft Word, Outlook, Excel, and PowerPoint software.

· Knowledge of general office machines and telephone systems.

· Knowledge of DoD or DON Military Manpower Reporting Systems

· Typing skills of at least 50 WPM.

Desired:

· Interest, knowledge, or background in the military and/or medical research field is a plus.

· Previous federal background investigation or clearance highly desirable

Job Type: Full-time

Pay: $50,000.00 – $57,000.00 per year
