ABOUT THIS POSITION

There is a vacancy in the Management Services Division in the Information Technology Services (ITS) Department for an Administrative Secretary. In this role you will provide high-level administrative and secretarial support to the Chief Information Officer (CIO), several C-Suite executives, and the Management Assistant in the Information Technology Services Department. This position is responsible for maintaining a high level of confidentiality of sensitive matters that arise within the Office of the CIO. The Administrative Secretary is the maintainer of the Chief Information Officer’s calendar that includes scheduling and coordinating meetings, preparing and/or collecting any material required for these meetings, and resolving any calendar conflicts. The Administrative Secretary also provides general administrative support for the Management Services Division.

Responsibilities include:

Provide high-level administrative and secretarial support to the Chief Information Officer and other executive level staff.
Schedule and coordinate calendars for one or more executive administrators.
Prepare and provide support for in-person and virtual meetings.
Process travel requests for department.
Take notes, document processes and procedures.
IDEAL CANDIDATE
Skilled in Microsoft Office Suite Software.
Proficiency in typing and editing drafts for middle managers and/or executives.
Strong customer service skills in a large municipal organization.
SALARY

Pay Range: $24.93 to $33.41 per hour.

Hiring Range: $24.93 to $31.82 per hour.

Pay range is the entire compensation range for the position classification.
Hiring range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity.

MINIMUM QUALIFICATIONS
Four years of progressively responsible secretarial experience.
Designation as a Certified Administrative Professional by the International Association of Administrative Professionals is an acceptable substitute for all other education and experience.
Other combinations of experience and education that meet the minimum requirements may be substituted.

PREFERRED QUALIFICATIONS

The minimum qualifications listed above, plus:

Three years of experience responding to sensitive requests for information and assistance, providing follow-through and resolution to internal and external customers in a large municipal organization.
Three years of experience typing and editing drafts for middle managers and/or executives and providing administrative support for upper management.
Three years of experience scheduling and coordinating appointment calendars for multiple executives.
Three or more years of experience providing administrative support to executive level administrators.
