Personal Assistant Duties and Responsibilities:

Work directly with our Director of Client Relations to ensure that they are on track with their taskings, obligations, and posture them for future requirements.
When given tasks, ensure follow-through is completely done through clear and concise communication feedback.
Continuous monitoring of daily conference call times, meetings, and other time-sensitive events to ensure no obligations are missed; keeping your Director accountable to those obligations is essential.
Understanding the priority of daily events, meetings, and time-sensitive functions; this is accomplished through continuous robust communication with our Director.
Organizing and filing business and financial documents at two office locations (minimal distance between offices).
When tasked, assist our Director in conducting research and gathering information for various projects.
When tasked, prepare and edit documents for digital and physical delivery to our clients and vendors.
Maintain confidentiality of sensitive information and documents.
Perform general office management duties at two locations; ordering supplies, manage office inventory, and coordinate conference reservations as necessary.
Handle calls, emails, and interactions with our clients and Broker-Dealer in a professional manner.

Qualifications and Skills:

Previous experience as a personal assistant to an individual entrepreneur, small business, or executive assistant role.
Must be able to pass a background check; our Broker-Dealer will be checking with Federal and State databases, FINRA, and the SEC. Please do not apply if you cannot pass this check fully.
High School Diploma or GED required, Associates or Bachelor’s Degree preferred.
Strong organizational skills and the ability to keep someone on task to meet essential deadlines.
Experience working in a dynamic and daily-changing environment to support the needs of who you will be assisting and our clients.
Proficient computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook Calendar, Docusign, and Adobe PDF. Prefer experience with Apple products as we primarily operate in that ecosystem.
Exceptional attention to detail and accuracy in all work performed.
Excellent verbal and written communication skills.
Ability to handle confidential information with discretion.
Proactive problem-solving skills and ability to anticipate needs.
Ability to work independently with minimal supervision.

Work Hours and Benefits:

Monday-Friday 8:30am-5:00pm
Hybrid-work environment; MWF at our dedicated office location in Englewood, CO and T/TH at the home office of the executive (may vary due to requirements and needs of executive).
Our team is small; we have members located throughout the US, however your focus will be dedicated support to a Director located in Englewood, CO.
