Position in this function provides a wide variety of advanced administrative support to one or more departments and/or senior and executive level staff. Provider leadership over assigned administrative support team to coach and guide all administrative assistants to excel in performance. Assists in the adherence to departmental budgets, prepares documents for personnel changes and produces various operating reports for the department served. Serves as the administrative supervisor and liaison for all internal and external inquiries related to the assigned department.

Primary Responsibilities:

Leads corporate office administrative support team. Oversees equal distribution of assignments, consistency of performance, and professional development of assigned administrative assistant team
Serves as office coordinator and main point of contact/liaison to various internal partners for all aspects of corporate office logistics (facilities, IT/Telecom, accreditation, supply chain, etc.)
Performs general to advanced clerical duties to include but not limited to: Microsoft office, excel, vizio, photocopying, faxing, mail distribution and filing
Coordinates and maintains records for staff office space, phones, company credit cards and office keys
Plan and organize logistics of large and/or off site events, using internal resources as needed
Create and/or maintain administrative desk manual, standard operating procedures, and business continuity plan to ensure continuity of office operations
Tracking expenses and coordinating building and equipment maintenance
Supervise catering and logistic needs for internal meetings and trainings including technology readiness
Maintains Outlook calendar(s) in current and accurate status for assigned leaders/teams
Coordinates meetings (in-person/virtual), maintains meeting minutes, and distributes information as needed or anticipated
Coordinates travel arrangements and completed expense reports as needed for assigned leaders/teams
Answers phones promptly and uses good judgment to prioritize the distribution of messages in a timely manner
Prepares meeting materials and assists with the development of PowerPoint presentations
Keeping inventory of all office supplies and placing orders for replenishment as needed
Records minutes at various meetings and archives them accordingly as needed
Performs all other related duties as assigned

Required Qualifications:

7+ years of executive administrative support experience with increasing responsibility
Understanding of corporate office logistics (facilities, IT/Telecom, accreditation, supply chain, etc.)
Proficiency with Microsoft Office applications to include Word, Excel, PowerPoint and Outlook
Proven ability to coordinate and oversee equal distribution of assignments, consistency of performance, and professional development of assigned administrative assistant team
Proven ability to create and/or maintain administrative desk manual
Proven ability to develop standardize operating procedures, and business continuity plan to ensure continuity of office operations
Proven ability to coordinates meetings (in-person/virtual), maintain meeting minutes, and distribution of information as needed or anticipated
Proven ability to manage office related expenses including supplies and catering
Proven solid attention to detail and excellent organizational skills
Proven ability to multi-task in a fast paced and deadline driven environment
Proven ability to maintain professionalism and a positive service attitude at all times
Ability to work onsite in 6333 N. STATE HWY 161. Irving, TX
