MG Partners is a high-end residential General Contracting firm looking for an Administrative Assistant to join our team in Camarillo. The position is a full-time position from 8:00am – 5:00pm Monday thru Friday. This person will work to support the daily operations of the office.
The ideal candidate is a high-energy individual with excellent organizational skills, a strong attention to detail and the ability to communicate effectively in both written and verbal communications. Daily duties will consist of general administrative tasks such as fielding phone calls, emails, scanning documents, processing change orders, time sheets, work authorization packages and vendor releases, sending out vendor payments, filing, and welcoming visitors. Candidate needs to hold a valid driver’s license and reliable source of transportation. Duties consist of running to post office and/or bank weekly.
Responsibilities:
Field inbound communications – Answer telephone, route calls, take messages, text messages and check office voicemail.
Process daily incoming and outgoing mail and deliveries.
Scan, fax and bind documents, reports, and proposals as required.
Maintain contract, contract card, change order, release logs.
Process billing and Work Authorization packages.
Collect weekly time sheets and submit to the controller.
Process change orders.
Send out vendor payments and releases.
Make bank deposits.
Maintain office organization and cleanliness.
Organize internal resources – maintain general files, order, and organize office supplies for easy accessibility.
Liaise with visitors – Act as point person for office guests.
Assist with special projects, as necessary.
Maintain records of office equipment, including a log of equipment service dates and initiating service requests.
Requirements:
High school diploma
2-5 years of experience as administrative assistant
Proficiency in MS Office (Excel, Word, Outlook, etc.)
Strong organizational, communication, and time-management skills
Proven ability to work in a fast-paced environment and capable of multi-tasking
Positive, high-energy attitude
Resourcefulness, creativity, and problem-solving skill set
Working knowledge office equipment (i.e., Mac Computers, printers, fax machines, etc.).
Must be a self-starter—able to work effectively, with or without continuous monitoring.
Must be flexible and adaptable to changing conditions, including work assignments, direction, and priorities.
Construction Office experience is a plus.
Compensation:
Compensation will be at or above the industry standards based on candidate’s experience. Employer offers insurance benefits, paid vacation, sick-time, and 401K.
