Position Summary
We are seeking a highly motivated and detail-oriented Executive Assistant to support multiple C-suite leaders. We’re looking for a highly organized and proactive Administrative Assistant to join our team and support our executives in achieving business success. The ideal candidate has 5 or more years experience and excels in handling sensitive information with discretion. This role requires exceptional attention to detail, strong communication skills and the ability to coordinate with our leadership team across strategic priorities in a fast-paced setting.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
Executive Support & Calendar Management
Provide high-level administrative support to C-suite executives
Provide a bridge for smooth communication between executives and internal/external stakeholders
Manage complex scheduling, calendar coordination, and meeting logistics
Prioritize inquires and requests while troubleshooting conflicts, and recommendations to ensure smooth day to day engagements
Coordinate and schedule internal executive meetings and external stakeholder meetings (clients, investors, board members, etc)
Event & Communication Coordination
Prepare agendas, take detailed meeting notes and follow up on action items
Provide event management support as requested
Handle highly confidential communications and sensitive information with discretion
Travel & Expense Management
Arrange domestic and international travel, including flights, hotels, meals and ground transportation
Manage travel itineraries and support time-sensitive adjustments as needed
Process expense reports in accordance with company policies
Administrative & Operational Support
Assist with document preparation, presentations, reports, conduct research and special projects
Support internal executive support team by coordinating initiatives and handling ad hoc requests.
Partner with Finance & Accounting on executive bookkeeping and invoicing
Develop and carry out an efficient documentation and filing system
Organize supply cabinets, manage and restock inventory
Provide support for visitors and clients upon arrival to the corporate office
Minimum Qualifications (Knowledge, Skills, and Abilities)
Time management and ability to meet deadlines
Experience in developing internal processes and filing systems
Proficient in Microsoft Office programs such as Word, Excel, PowerPoint, and Teams
5 or more years of experience in an administrative role reporting to an executive
