Job Purpose

General Administrator ensures daily business operations run smoothly by managing clerical tasks, welcoming visitors, coordinating meetings, and maintaining office supplies. They act as the central point of contact for staff and external vendors, handling correspondence, managing records, and implementing administrative procedures.

Key Responsibilities

·      Overseeing day-to-day functions, managing supplies inventory, and coordinating equipment repairs.

·      Answering phone calls/emails, preparing documents, filing, and managing records.

·      Scheduling meetings, managing calendars, and arranging travel logistics.

·      Greeting visitors and directing them to relevant personnel.

·      Performing basic bookkeeping, such as invoicing and expense tracking.

·      Assisting with office layout changes, safety standards, and onboarding new staff

·      Creating and updating databases and records for financial information, personnel records, customer management records and other data

·      Tracking, replenishing and ordering office supplies to avoid interruptions in standard front office procedures

·      Preparing reports, spreadsheets and presentations

·      Responsible for managing office equipment, supplies, and physical work environment needs to ensure a productive, compliant workplace.

·      Monitoring inventory levels of office stationery, kitchen supplies, and pantry items to ensure consistent availability

·      Oversees the administrative lifecycle of support staff, such as office boys, ensuring their compliance with company policies and proper scheduling.

·      Coordinating the distribution of new uniforms to employees and ensuring proper fit

·      Managing a supply of spare uniforms to ensure staff always have clean, available items.

·      Monitoring compliance with the company’s personal appearance and dress code policy.

Monitoring the quality and condition of uniforms

Qualifications

·      Experience: 0-2 years in office administration or related roles.

·      Software Proficiency: Strong knowledge of MS Office (Word, Excel, Outlook) and office equipment.

·      Communication: Excellent verbal and written communication skills.

·      Organization: Strong multitasking, time-management, and organizational skills.

·      Education: Bachelor’s degree in business or related field.
