Job Description

  • Procurement Management: Manage the end-to-end procurement process for all office and warehouse operational needs, including inventory planning and strict budget control.
  • Expense Tracking: Record, track, and monitor corporate operational expenses accurately, ensuring all transactions are fully documented and structured within the ledger.
  • Cost Efficiency Analysis: Analyze purchasing requirements and execute vendor price comparisons to secure premium service quality at the lowest possible operational cost.
  • Vendor Management: Build, nurture, and maintain professional relationships with third-party vendors, leading commercial negotiations regarding pricing, service terms, and delivery lead times.
  • Document Archiving: Systematically organize, manage, and archive all purchasing documentation—including invoices, service contracts, and equipment warranties—for effortless retrieval.
  • Facility Maintenance Monitoring: Monitor and coordinate routine maintenance, building inspections, and immediate repairs of corporate facilities to ensure zero workplace operational downtime.
  • Workflow Optimization: Develop, refine, and implement more efficient administrative systems and procurement workflows to maximize internal processing speeds.
  • Financial Reporting: Compile and present periodic reports tracking operational expenditures, cost-saving milestones, and strategic recommendations for administrative process improvements.

Qualifications

  • Education: Minimum of a Bachelor’s Degree (preferably in Industrial Engineering, Information Systems, Accounting, Management, or a related field).
  • Experience: Open to Fresh Graduates who possess a highly analytical, structured approach to problem-solving.
  • Critical Thinking: Strong critical thinking capabilities paired with the ability to process and interpret operational data to guide basic corporate decision-making.
  • Technical Literacy: Proficient in operating digital tools such as Microsoft Excel or Google Sheets (specifically utilizing lookup functions and basic data analysis models).
  • Systems Mindset: Proven capacity to construct neat, organized, efficient, and scalable working systems from scratch.
  • Communication & Negotiation: Excellent verbal and written communication skills with a natural ability to handle commercial negotiations with third-party suppliers.
  • Attention to Detail: Deeply detail-oriented and meticulous, maintaining an exceptionally high personal standard for data accuracy and documentation.
  • Autonomy & Proactivity: High level of personal initiative, showing the ability to work independently with minimal oversight while collaborating effectively within a team environment.

Preferred Attribute: A strong personal interest in operational efficiency, cost control mechanisms, or administrative workflow automation is considered a distinct advantage.
