Administrative Support Coordinator I (Entry Level)

Salary Range: $ 35,968.60 – $ 40,674.40 Annually (DOE)
Primary Purpose:
Provides office and clerical support. Duties may include providing assistance and support in reception, units and/or departments. Provide administrative support to ensure efficient operation of Westside Regional Center. Supports directors, managers, and employees through a variety of tasks related to Westside and communication to the community we support. Administrative Support are responsible for confidential and time sensitive material. Must be familiar with a variety of the WRC’s concepts, practices, and procedures.
Essential Duties and Responsibilities: Include the following. Assigned duties may vary and other duties may be assigned.
1. Reception/Clerical
Responds to heavy volume of phone calls, transferring calls to appropriate staff, answers general questions. Greets consumes, families, and other visitors. Checks in and verifies appointments and ensures consumers and visitors connect with the appropriate staff.
Responds to Department support requests.
Schedules appointments with consumers, related parties and internal staff.
Reserves rooms for meetings and conferences; maintains department calendars for staff.
Performs a variety of clerical and support tasks, including filing, scanning, copying, preparing written correspondence, and communicating with consumers, families and service providers and other agencies.
Types, inputs and maintains documents, consumer information and/or related data into computer databases, software, tracking systems/tools, etc.
Prepares reports/documents by collecting and collating information. Sets up and maintains paper and/or electric filing systems.
Performs other related duties as required.
Scanning and Filing
Assist in the companywide imaging project.
Copies, files, retrieves and/or scans documents. May research files on the computer.
Maintains files through purging/archiving documents and prepares materials for mailing.
Makes copies and packets, distributes documents and prepares material for mailing.
Coordinate boxes for off-site storage, as applicable.
Performs other related duties as required and assigned.
Facilities Support
Assist setup and breakdown of conference rooms for meetings, special events, board meetings, etc.
Assist in determining needed equipment for meetings, special events, board meetings, etc.
Performs other related duties as required and assigned.
Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education and/or Experience
High school diploma or general education degree (GED); or equivalent combination of education and experience required.
Two (2) years related experience required working in an office environment or related experience.
Knowledge and/or Skills
Microsoft Office and related applications.
Knowledge of general office functions and customer service skills.
Ability to operate a computer and enter data accurately.
Thorough knowledge of Microsoft office/ Microsoft 365 required.
Analytical and Reasoning Skills
Ability to apply general understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
