Job Overview:
We are seeking a highly organized and detail-oriented Office Manager/ Administrative Assistant to join our team. As an Office Manager/ Administrative Assistant, you will play a crucial role in supporting our office operations and ensuring smooth day-to-day functioning. This position will start off as a part-time transition to full-time with opportunities for growth and development.
Responsibilities:
– Manage calendars, schedule appointments, and coordinate meetings
– Answer phone calls and respond to inquiries in a professional and courteous manner
– Greet visitors and direct them to the appropriate person
– Perform general clerical duties, including data entry, filing, and photocopying
– Assist with maintaining office supplies and inventory
– Provide administrative support to the therapists and CEO of the organization
– Handle sensitive and confidential information with discretion
– Assist with special projects and events as assigned
Qualifications:
– Previous experience in an administrative role is preferred
– Proficient in using computerized systems and software such as Microsoft Office Suite (Word, Excel, PowerPoint)
– Strong organizational skills with the ability to multitask and prioritize tasks effectively
– Excellent written and verbal communication skills
– Attention to detail and accuracy in completing tasks
– Knowledge of QuickBooks or other accounting software is a plus
– Experience in a medical office setting is a plus
– Ability to provide exceptional customer support and maintain a professional demeanor at all times
– Familiarity with front desk operations and phone etiquette
