The Administrative Assistant is responsible for a variety of duties according to established policies and procedures from Facility department. Maintains contact with staff and vendors and observes confidentiality of company matters.
Essential Duties and Responsibilities
Support the Facility Manager and the Supervisor with the personnel matters
Prepare, maintain, and review purchasing files, reports, and price lists
Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications
Scan and keep electronic files for work orders and suppliers
Maintain and organize the Department’s e-filing
Maintain and updates payroll recording. Register changes, licenses, missed punches and other adjustment to the biweekly payroll
Monitor and control meal penalties and lunch breaks for the employees
Prepare Employees’ monthly schedules
Prepare Employees’ weekly work plans
Supervise and control the equipment and materials inventory
Providing excellent customer service
Dealing with conflict effectively, courteously, and tactfully
Available to work overtime when required
Other duties as assigned by Manager
Safety and Environmental Responsibilities
Follow SHM Safety and Environmental rules and complete required related training
Wear proper personal protective equipment as required for the task or work area
Report all accidents, injuries, spills and near misses immediately
Technical and Physical Requirements
High school diploma or equivalent preferred
Prior marina experience preferred
Previous customer service experience preferred
Proficient in Microsoft Office
Ability to sit for long periods of time
Ability to lift 20 pounds
Must be available to work weekends and holidays
Fully bilingual (Spanish and English)
