Job Title: Administrator/Executive Assistant to the CEO
Location: Tampa/Hybrid
Cru Hospitality Group is a multi-unit, multi-concept restaurant group dedicated to delivering outstanding dining experiences. We are looking for an organized, proactive, and detail-oriented Administrator/Executive Assistant to support the CEO with day-to-day operations. This position will provide a broad range of administrative support, including accounting, human resources management, professional correspondence, digital marketing, and assisting with various projects.
Job Overview:
As the Administrator/Executive Assistant to the CEO, you will be the right-hand support for the CEO, managing critical tasks across multiple departments. Your role will require you to juggle various responsibilities, including finance, HR, communication, and marketing, while maintaining a high level of confidentiality and professionalism.
Key Responsibilities:
1. Accounts Payable/Receivable:
Process invoices and ensure timely payments to vendors.
Manage accounts receivable, tracking payments and following up on overdue accounts.
Maintain accurate financial records for the company’s transactions.
Assist with monthly and quarterly financial reporting.
2. Human Resources System Management:
Assist with onboarding new employees, ensuring necessary documentation is completed.
Manage employee records and maintain HR databases.
Track time-off requests and attendance.
Support the CEO in organizing performance reviews and employee development initiatives.
3. Professional Correspondence:
Act as the point of contact for all professional communication on behalf of the CEO.
Draft and proofread emails, letters, and other professional documents.
Coordinate with internal and external stakeholders to ensure smooth communication.
4. Schedule Maintenance:
Manage the CEO’s calendar and schedule meetings, appointments, and travel arrangements.
Prioritize and schedule tasks to align with business goals.
Ensure the CEO is prepared for all meetings and engagements.
5. Digital Marketing Administration:
Assist in coordinating digital marketing campaigns, including social media and email marketing.
6. General Administrative Support:
Support the CEO with various projects and special tasks as required.
Perform office management tasks, including ordering supplies and maintaining office organization.
Prepare reports, presentations, and other materials for meetings and business operations.
Preferred Skills & Qualifications:
Proven experience as an Executive Assistant, Administrator, or similar role, ideally within the hospitality or restaurant industry.
Familiaruty of accounting, accounts payable/receivable, and basic financial principles.
Familiarity with HR systems and employee management tools.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Knowledge of digital marketing tools (social media platforms, email marketing software).
Ability to multitask, prioritize, and work under pressure.
Strong attention to detail and high level of confidentiality.
Experience working in the restaurant or hospitality industry.
A degree in Business Administration, Accounting, Marketing, or related field.
