Job Description Summary:

The Front Desk Operations grad assists the program manager with the overall administration and operation of front desk operations of the residence halls including but not limited to workers’ performance and discipline, scheduling, and front desk worker issues. This position will assist in the supervision of a staff of 30 Desk Assistants in order to create a safe and secure environment for residence hall students to live in.

The position reports to the Program Manager.

Major Responsibilities include but are not limited to:

Assist in the supervision of desk operations and 30 Desk Assistants.

Participate and coordinate desk staff training and selection processes.

Assist in the creation of a semester front desk schedule and break desk schedule.

Ensure that all assistants are performing up to standard by implementing disciplinary action with desk assistants.

Evaluate desk assistants at the end of each semester.

Supervise the desk assistants in a manner that facilitates the development and the implementation of departmental goals.

Serve as a role model to staff and residents at all times by acting in a professional manner and adhering to all university and hall rules.

Update and administer the Desk Assistant Manual.

Interpret and uphold the rules and regulations as detailed in the Desk Assistant Manual, as well as those set up by the department and the university.

Meet with desk assistants when they are documented.

Promptly document all personnel problems.

Assist in advising/informal counseling for staff members as needed.

Maintain administrative records regarding disciplinary actions.

Attend staff training as needed, including fall and spring training as well as in-service training sessions.

Ensure that timecards are correctly filled out, signed and submitted in a timely manner.

Conduct meetings with desk assistants as needed.

Assist with opening and closing of the residence halls each semester as needed.

Utilize computer skills and technology to accomplish job responsibilities.

Supervise front desk coverage by reporting absences and negligent performance.

Administrative Tasks:

Maintain 15 weekly office hours (4 of which must occur after 5pm) and a high degree of availability and visibility.

Maintain all student records in conjunction with the Program Manager.

Assist with the distribution of mail to the residence halls.

Participate in on-call duty rotation.

Respond to campus crisis.

Attend weekly staff meetings.

Assist in opening and closing of residential communities.

Coordinate resident advisor bulletin board incentive program.

Create and distribute the Housing Happenings newsletter.
