We have an exciting opportunity for a full-time Order Entry Admin at our Tonawanda, NY location. This is an Onsite full-time hourly (nonexempt) position that will report directly to the Project Engineering Manager. The schedule will be Monday through Friday from 8am-4:30pm with an unpaid 30-minute lunch. This role provides clerical and administrative support for the Project Engineering Department, specifically related, but not limited to processing new orders as they are received from customers.

What you’ll do:

Receive order requests as provided by the Project Engineering Team.
Review customer submitted Purchase Orders, as well as CPEG provided proposal letters and costing sheets for discrepancies.
Report discrepancies in received documentations to the Project Engineer as required.
Entry order information into the ERP system and create required customer orders and job orders from purchase orders, proposal letters, and costing sheets.
Create new customers in the ERP system to support the order entry process.
Create parts in the ERP system as required for finished goods and or intercompany purchase orders.
Ensure that all estimate information as well as job detail information is loaded into the ERP system for new customer orders / job orders.
Work in the ERP system, on multiple sites, to close job orders as required.
Create and issue intercompany purchase orders for items that are sourced from other divisions of the company.
Support the creation, modification and distribution of project documentation to customers such as mutual non-disclosure Agreements, proposal letters, and product information as directed by the Project Engineers.
Support inquiry administrative team, when needed for setting up inquiries in the ERP CRM system, creating inquiry document files, ensuring documentation is loaded into the file server, and communicating to customers that the inquiry has been received.
Support documentation updates and distribution for rep commissions as needed.
Other administrative duties as required by the Project Engineering Team.
Requirements:

What you’re required to have:

High School Diploma, or equivalent required.3-5 years clerical / data entry experience preferably in manufacturing.
Computer literate with a high degree of proficiency in the Microsoft Office Suite of products including Word, Excel, and PowerPoint.
Excellent problem-solving and prioritizing skills with keen attention to detail.
Ability to multitask in a fast-paced environment.
Ability to manage, organize, and reconcile multiple sources of information with accuracy.
Professional written and verbal communication skills.
Tech-savviness: Able to navigate multiple systems, learn new tools, and effectively troubleshoot.
Resiliency: Ability and willingness to learn new things; apply that learning to perform successfully.
Must be able to maintain composure and efficiently solve problems during escalated situations, always putting forth a solution-oriented mindset.
Critical thinker and the ability to make appropriate judgment calls.

Nice to have, but not required:

Associate’s degree in data entry or related field.
Experience working with an ERP or other database software.
