Data Entry Specialist

Job Description
As a Data Entry Specialist, you will be responsible for inputting, updating, and maintaining data related to construction projects, financial records, and operational documents. Accuracy, speed, and attention to detail are critical for this role, as the data you handle will support project management, compliance, and reporting efforts. This role is based out of our Phoenix office but will require daily work at a project site in Litchfield Park, Arizona.
Key Responsibilities
Enter and update project details, invoices, purchase orders, and timesheets in the company database.
Maintain accurate records of materials, labor costs, and subcontractor information.
Review and verify data for discrepancies or errors before inputting.
Organize and maintain digital and physical records of contracts, permits, and other project documentation.
Coordinate with project managers, accountants, and field staff to ensure timely and accurate data entry.
Assist in generating reports and summaries for management.
Follow company data security policies and ensure confidentiality of sensitive information.
Qualifications & Skills
High school diploma or equivalent (associate’s degree or relevant certification is a plus).
Proven experience in data entry, administrative support, or a similar role (construction industry experience preferred).
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and data entry software.
Experience with construction management software (e.g., Procore, Sage 300, QuickBooks, or similar) is a plus.
Strong attention to detail and ability to handle large volumes of data with accuracy.
Excellent organizational and time-management skills.
Basic knowledge of construction terms and project documentation is a plus.
Ability to work independently and as part of a team.
