HCM & Admin Assistant

ERP Suites is looking for an HCM & Admin Assistant who plays a crucial role in supporting the Human Capital Manager and HR department in various tasks related to recruitment and administrative duties. The incumbent will primarily focus on activities such as searching databases for new candidates, contacting potential candidates, managing candidate pipelines, and conducting initial interviews. Additionally, will assist other department directors in tasks related to travel arrangements and event planning to ensure efficient office operations

Location:

Our home office is based in Cincinnati, OH. However, we are open to hiring someone fully remote regardless of location.

Although the position is fully remote, there may be occasional travel required based on job needs.

Key Responsibilities:

Recruitment Support:

Assisting with general employee processes such as hiring, recruiting, vetting candidates, and assisting with interviews.

Utilize recruitment databases and other resources to search for potential candidates.

Contact candidates via email or phone to inform them about job opportunities.

Supporting HR-related training programs and workshops.

Maintain candidate pipelines and update candidate information in the database.

Ensure A Player agreements are signed and stored in the database for each employee.

Administrative Support:

Maintaining employee and candidate data in Bamboo HR, Jazz ATS, and other HR systems.

Assist with building training courses and programs in learning management systems.

Maintain and update operational dashboards for leadership.

Support in planning and organizing company events, meetings, and conferences.

Coordinate logistics for events, such as venue booking, catering, and audio-visual requirements.

Handle general administrative tasks, including data entry.

Communication and Collaboration:

Maintain effective communication with internal stakeholders, including HR team members, department directors, and external candidates.

Collaborate with team members to ensure smooth execution of recruitment and administrative processes.

Provide timely updates and reports to the Human Capital Manager and other relevant stakeholders.

Compliance and Documentation:

Ensure compliance with company policies, procedures, and legal regulations in all recruitment and administrative activities.

Maintain accurate records and documentation related to recruitment and event planning.

Assist in drafting and updating job descriptions, A Player agreements, employee handbooks, and other HR-related documents as required.

Qualifications:

Bachelor’s degree or associate degree in Human Resources, Business Administration, or related field preferred.

Prior experience in HR, recruitment, or administrative roles is desirable.

Good communication and interpersonal skills.

Strong organizational and multitasking abilities.

Proficiency in MS Office applications (Word, Excel, PowerPoint).

Attention to detail and accuracy in data management.
