Key Responsibilities

Corporate & Site Administration

  • Lead and manage overall administration functions for Corporate Office, renewable project sites, manufacturing plants, warehouses, regional offices, and operational locations across India.
  • Develop and implement standardized admin policies, SOPs, governance frameworks, and operational controls across all business locations.
  • Ensure smooth functioning of day-to-day administration operations with strong focus on operational efficiency, compliance, and service delivery.
  • Support business expansion by establishing administration infrastructure and operational readiness for new project sites, manufacturing facilities, and offices

Manufacturing Plant Administration

  • Lead administration and facility management activities for Cell Manufacturing and Module Manufacturing facilities.
  • Support plant project teams during construction and project phase for infrastructure readiness, office setup, temporary facilities, transportation, accommodation, utilities coordination, and workforce support.
  • Ensure smooth transition from project phase to operational phase for manufacturing facilities from administration and infrastructure perspective.
  • Coordinate closely with Plant Head, Project Team, EHS, HR, Security, and Operations teams for seamless plant administration support.
  • Oversee canteen, transportation, security, housekeeping, workforce facilities, utility coordination, and employee support infrastructure for manufacturing plants.
  • Ensure compliance with plant administration standards, safety protocols, visitor management, and facility governance mechanisms.

Greenfield Project & Infrastructure Setup

  • Support greenfield renewable and manufacturing projects through end-to-end administration setup and mobilization activities.
  • Manage infrastructure readiness including office setup, temporary site offices, employee accommodation, guest houses, transportation, utilities, and support facilities during project execution stage.
  • Coordinate with internal stakeholders and external agencies for timely readiness of operational infrastructure for new plants and project locations.

Facility Management & Infrastructure

  • Oversee complete facility management activities including office maintenance, housekeeping, security, cafeteria, utilities, seating infrastructure, workplace management, and employee amenities.
  • Ensure infrastructure readiness, workplace safety, hygiene standards, and statutory compliance across all corporate, site, and manufacturing locations.
  • Manage office assets, infrastructure inventory, utility consumption, annual maintenance activities, and space optimization initiatives.
  • Drive sustainable workplace practices including energy efficiency, waste management, and green facility initiatives.

Guest House Management

  • Manage end-to-end operations of all company guest houses across India including accommodation planning, maintenance, housekeeping, inventory management, budgeting, and employee experience.
  • Ensure standardization, service quality, hygiene, utilization optimization, and cost control across guest house facilities.

Travel, Transportation & Fleet Management

  • Manage end-to-end travel operations including air/rail bookings, hotel arrangements, travel desk operations, and travel policy implementation.
  • Oversee transportation operations, company fleet management, vehicle utilization, fuel monitoring, driver management, and statutory compliance.
  • Ensure seamless transportation support for project teams, manufacturing workforce, leadership movement, and business operations across locations.

Vendor & Contract Management

  • Identify, negotiate, onboard, and manage vendors related to facility management, transportation, travel, housekeeping, security, guest houses, office infrastructure, and plant support services.
  • Ensure vendor governance through SLA monitoring, commercial negotiations, contract management, and periodic performance reviews.
  • Drive cost optimization initiatives while maintaining high service standards.

Event Management & Employee Support

  • Lead administration support for corporate events, annual functions, leadership visits, townhalls, plant inauguration events, offsites, and employee engagement activities.
  • Ensure effective coordination for VIP visits, customer visits, audits, business meetings, and leadership events across India.

Liaison & Local Coordination

  • Coordinate with local authorities, landlords, industrial bodies, government agencies, and external stakeholders for smooth administration operations and statutory support.
  • Support manufacturing and project teams in local administration coordination and infrastructure-related requirements.

Budgeting, MIS & Governance

  • Prepare and manage annual administration budgets across corporate offices, project sites, and manufacturing facilities.
  • Monitor admin MIS, utilization reports, cost analysis, and operational dashboards for leadership review.
  • Ensure strong governance, audit readiness, documentation standards, and compliance adherence across locations.

Process Improvement & Digitization

  • Drive automation and digitization initiatives related to administration processes including travel management, facility helpdesk, asset tracking, visitor management, and vendor management systems.
  • Continuously improve operational processes to enhance efficiency, employee experience, and cost effectiveness.

Crisis & Emergency Support

  • Handle emergency response coordination related to infrastructure, transportation, accommodation, safety incidents, and business continuity support across project and manufacturing locations.
  • Ensure readiness and responsiveness for critical operational requirements across locations.

Desired Candidate Profile

  • Graduate/Postgraduate with relevant experience in Administration & Facility Management.
  • 15–22 years of experience in managing large-scale administration operations across corporate offices, manufacturing plants, and multi-location project environments.
  • Strong exposure to corporate administration, manufacturing plant administration, project/site administration, facility management, transportation, travel management, and vendor governance.
  • Experience in Renewable Energy, Solar Manufacturing, IPP, Power, Infrastructure, EPC, Manufacturing, or similar industries preferred.
  • Exposure in supporting greenfield manufacturing projects and plant setup activities will be an added advantage.
  • Proven capability in handling geographically distributed operations and large vendor ecosystems.
  • Strong leadership, stakeholder management, negotiation, team handling, and problem-solving capabilities.
  • Ability to travel extensively across India based on business requirements.
