Job Summary
This position serves as the first point of contact for clients and visitors at CAPS, providing exceptional service by managing inquiries, scheduling appointments, and supporting clinic operations.
Department-Specific Responsibilities
Serves as the initial contact for clients and visitors, providing information about services and connecting individuals to appropriate staff.
Answers multiple phone lines, including a crisis line, and prioritize calls efficiently.
Schedules, cancels, and manages client appointments while maintaining accurate electronic health records.
Assists clients with completing registration and Patient Assistance Prescription applications.
Registers clients for emergency walk-in services and ensure a smooth intake process.
Manages billing, updates client data, and maintains staff schedule changes.
Handles requests for counseling records and ensures compliance with HIPAA regulations.
Supports clinical staff with administrative needs, including copying, faxing, and coordinating ADHD protocol requests.
Maintains composure during high-pressure situations and create a calm atmosphere in the reception area.
General Responsibilities
Provides administrative support to a department or group of professionals, exercising confidentiality, tact and diplomacy.
Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.
Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately.
Schedules and confirms appointments, and meetings.
Participates in the development and implementation of administrative standards, policies and practices for the organization.
May perform other duties related to maintaining an internal website and/or working with social media.

EDUCATION
Required
High school diploma or equivalent (such as HSED or GED)
WORK EXPERIENCE
Required
2 years of relevant experience
Preferred
Experience working in a medical setting

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
