Office Administrator / Receptionist
Location: Napa, CA (On-site non remote) – MUST LIVE LOCALLY
Hours: Monday–Friday, 8:00 AM–4:30 PM
Job Type: Full-Time (Optional Part-Time Training to Start)
Pay: Starting at $24.00 per hour, depending on experience

We are seeking a self-sufficient, highly detail-oriented office administrator/receptionist to manage the day-to-day operations of our downtown Napa office. You’ll be the voice of our company to customers and the main hub of communication and coordination for our field team. This role is pivotal to our success and requires someone who is confident, resourceful, and takes ownership of their work.
This is not a revolving-door position—we’re looking for someone who wants to grow with us for the long haul. Many of our team members have been with us for close to a decade, and we’re excited to find the next person to join our family for the long run.
General Office Duties:
– Answer phones, return voicemails, respond to emails
– Create and manage customer accounts
– Schedule routine services and daily technician routes
– Dispatch urgent service calls to technicians as they come in
– Place weekly chemical and office supply orders
– Contact customers for future service approvals
– Accept and inspect delivered products
– Perform light weekly office cleaning (vacuuming, dusting, wiping surfaces)
– Communicate daily with technicians, office manager and owners for schedule and route updates
Accounting & Bookkeeping:
– Perform daily bank deposits and manage AP/AR
– Generate monthly financial reports
– Use QuickBooks to reconcile bank accounts
– Create and maintain sales reports
Qualifications:
– Minimum 5 years of customer service experience
– Minimum 5 years of office administration experience
– Minimum 3 years of billing and bookkeeping experience
– Strong organizational skills and attention to detail
– Proven ability to work independently and manage multiple projects at once
– Excellent communication, time management, and interpersonal skills
– Comfortable learning new systems and creating efficient processes
– Proficient in MS Office (Outlook, Word, Excel) and QuickBooks Online
– Typing speed of 50+ WPM (average is ~40, fast is 60+)
Bonus Qualifications:
– Experience in a service-based business (home services, trades, etc.)
– Familiarity with dispatching or field technician coordination
– Background in HR or payroll

Schedule Notes:
Training will begin at 15–20 hours/week transitioning to full-time.
Must be available to cover when the office manager is away.
No nights or weekends required.
