**Position Overview:**
This hybrid role involves supporting both corporate operations and personal matters for executives. The position requires expertise in schedule management, interdepartmental coordination, and customer communication, with additional responsibilities in document processing and property service management. The ideal candidate must be highly organized, adaptable, and capable of working both remotely and on-site once a week.
**Responsibilities:**
**1. Schedule & Communication Management**
– Coordinate executive and company schedules, arranging meetings, travel, and task prioritization.
– Manage high volumes of phone and email communications, acting as the first point of contact for clients, including private clinics and partners.
– Conduct weekly on-site briefings with executives, providing reports on progress and addressing emergencies.
**2. Coordination & Execution**
– Oversee internal and external resource coordination to ensure seamless interdepartmental collaboration.
– Monitor task execution and provide regular progress reports to stakeholders.
**3. Documentation & Administrative Support**
– Organize and archive company and personal documents, including contracts, reports, and client information.
– Assist in drafting essential documents and ensuring database accuracy.
**Requirements:**
– **Education:** Bachelor’s degree or higher from an accredited institution.
– **Experience:** 5+ years in administrative/assistant roles, with preference for those experienced in small to medium-sized enterprises, healthcare, or property services (including HOAs).
– **Technical Skills:** Proficiency in schedule management tools and experience managing property services.
– **Time Management:** Ability to handle multiple tasks with strict adherence to deadlines.
– **Service-Oriented Mindset:** Patient, meticulous, and adept at conflict resolution under pressure.
– **Communication Expertise:** Strong phone and email communication skills with clear, logical articulation.
– **Structured Work Approach:** Highly detail-oriented with a focus on task execution and precision.
– **Flexibility:** Comfortable with a hybrid work model, including remote work and weekly on-site presence.
**Work Schedule:**
– **Location:** In-office at least 4 days per week. The role involves significant work outside the office and frequent phone communication.
– **Hours:** 9:00 AM – 5:00 PM, Monday-Friday.
