SUMMARY: The Administrative Assistant is the first impression for all Carolina Beverage Group (CBG) visitors both in person and via phone. This non-exempt position, reporting to the VP of Operations will provide administrative support and assistance to our leadership and management teams. This position requires very strong interpersonal skills, a self-starter with an energetic and professional demeanor, high level of integrity and the ability to recognize and protect confidential information.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Preparation of correspondence, documents, meeting materials, presentations, etc.
Create, reviews and audit Production folders/reports
Create PO’s for warehouse and destruction loads
Schedule and coordinate group meetings (video and in-person) including but not limited to, conference room scheduling, room setup, food selection and ordering
All other duties as assigned by VP of Operations, Leadership, Upper Management team members.
Maintain stock levels of all beverages in conference rooms
Update morning meeting charts
Create, maintain and follow up on Executional Planner
Responsible for Safety Walks execution
Updates SDS database
Manage reception area, greet and assist visitors and customers
Negotiate contracts with merchandising vendors, facility coffee, vending machines and shredding company, including escorting vendor representatives throughout the plant when applicable and coordinating work orders as well as supply orders
Order and arrange company and customer lunches including delivery and/or pick up
Manage office supplies and printing within budget and negotiate pricing including equipment work orders as needed
Make reservations for dinners as needed
Coordinate, Plan and/or assist with execution of company sponsored/catered events including Town Hall meetings – may include set up, signing in employees, handing out items, staying later as required
Local errands to include purchasing beverages, miscellaneous supplies, printing services, purchase postage and/or send packages via postal service, Federal Express, UPS
Must be available for a Monday-Friday schedule from 8:00am-5:00pm (currently works 7-3) with additional hours when required
Other duties may be assigned
KNOWLEDGE, SKILLS AND ABILITIES
College degree preferred
Three to five years minimum experience working in a professional executive assistant role
Intermediate to Advanced Microsoft Office skills, and ability to become familiar with other programs and software as required
Excellent communication skills including verbal, written and listening; ability to communicate effectively with a variety of people including executives, management and all levels of customers, vendors, visitors & co-workers
Identity and resolve problems in a timely manner
Strong organizational skills and self-structure, ability to manage priorities and multiple tasks, and meet deadlines. Must be able to switch priorities instantly.
Detail oriented with exceptional follow-through skills
Strong team player
Excellent customer service attitude and skills, commitment to quality and strong work ethic
Able to understand and follow verbal and/or demonstrated instructions
Complete requested assignments with limited direction or supervision

Bilingual in Spanish a plus

While performing the duties of this job, the employee is frequently exposed to work in wet, humid, or outdoor conditions. The employee is also exposed to varying temperatures extremes including heat and cold as the weather varies. The employee is occasionally exposed to work on elevated platforms, with fumes or airborne particles, or with toxic or caustic chemicals. This employee is frequently exposed to work near moving mechanical parts and exposed to vibration. The noise level in the work environment is usually loud.
Physical Demands:
The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include Distance vision, Color Vision, Peripheral vision, and Depth perception. While performing the duties of this Job, the employee is frequently required to sit, talk or hear, use hands to finger, handle, or feel and reach with hands and arms. The employee is occasionally required to stand, walk, climb or balance, stoop, kneel, crouch, and crawl.
