The Opportunity:
Consor is seeking a reliable, organized, proactive Admin Assistant to manage daily clerical tasks at our Pace, FL office. As the initial point of contact, you will ensure our team members and clients receive an iconic customer service experience. This role will wear many hats including but not limited to: serving as the face of the company, handling incoming phone calls, answering inquiries from vendors and staff, supply ordering and stocking, correspondence and report preparation, assisting the accounting team, and other duties as assigned. Our ideal candidate will be a self-starter with a positive attitude, a desire to work as efficiently as possible, and excellent client-facing communication skills.
Essential Duties & Responsibilities:
Welcomes and assists in-person visitors
Answers, screens, and forwards incoming phone calls pleasantly and professionally
Receives, sorts, and distributes daily office mail
Prepares and distributes emails, correspondence memos, letters, faxes, and forms
Assists and coordinates office events and meetings
Researches and coordinates volunteer and charitable events for office participation
Maintains electronic and paper files, records, and reports
Maintains office supplies and equipment inventory by checking stock and anticipating needed supplies
Receipt and expense report reconciliation
Scanning, uploading, filing, and reconciling various documents
Printing and assembling of various documents and plans
Maintains company vehicle log and upkeep of vehicles
Ensures the proper presentation and upkeep of shared space and common areas, including reception area and kitchen
May serve as administrative liaison with others within and outside assigned areas regarding administrative issues on purchasing, personnel, facilities, and operations
Set up computer equipment for new hires
Coordinate with IT group on needs and return of office computer equipment
Hand-deliver various documents to clients
Run local errands for office
Required Credentials:
High School diploma or equivalent
Valid Texas driver’s license
2+ years in an administrative role
Proficient knowledge of MS Office Suite: Word, Excel, PowerPoint, and Outlook
Strong attention to detail and organizational skills
Must maintain a positive, outgoing, and upbeat personality
Excellent written and verbal communication skills
Ability to multi-task and initiative to identify needs and see them through to completion
Maintain a high level of professionalism and integrity daily
Additional Preferred Qualifications:
Accounting clerk or invoicing experience
