Full Job Description

JOB SUMMARY
The HIV Data & Administrative Assistant at Rainbow Health assists in processing and coordinating client administrative services to support the Emergency Financial Assistance Program and the Data & Evaluation Manager for HIV Services. This role supports departmental and organizational efforts to coordinate client-level database work, improve internal capacity and data entry requirements required by contracts and funders, and meet contract obligations. The position works heavily on the administrative side, ensuring our clients receive the best services possible.

ESSENTIAL DUTIES

Tracking components of the emergency financial assistance program, including but not limited to entering monthly data, which gets reported to funders, reviewing client eligibility for assistance, and assisting in preparing program reports.

Supporting the Data & Evaluation Manager for HIV Services by compiling and distributing reports to departments on a regular basis.

Processing new client intake information, entering it into the current client database system, and maintaining and updating client-related records and charts as needed.

Reviewing monthly Ryan White CAREWare financial documentation and ensuring that the financials and services reported by Rainbow Health are accurately reflected in the state CAREWare system.

Facilitating data requests for quarterly reports to Hennepin County and the Minnesota Department of Human Services.

Maintaining knowledge of HIPAA regulations and Rainbow Health confidentiality guidelines and working with program staff to support the execution of data collection and management in compliance with these policies.

Providing backup coverage and support to the front desk and other administrative roles as needed.

Other duties as assigned based on agency and department needs.

QUALIFICATIONS

High School Diploma or equivalent.

Minimum 2+ years of hands-on experience in complex databases or overall administrative support, with required high-level experience in Microsoft Excel; experience in Salesforce is strongly preferred.

Proficiency in a second language other than English is strongly preferred.

Experience and proven capacity working with communities of color and/or in addressing Gay/Bi/MSM/Queer and Transgender health issues, and an ability to work with HIV-positive people and those engaged in risk behaviors for HIV in individual settings.

WORK ENVIRONMENT

Work is currently in a hybrid format, splitting time between the Rainbow Health office and working from home. This role will be required to work in the office 2-3 days per week to provide backup support to the front desk.

Employees working in person with clients or out of our offices must show proof of vaccination and attest to their vaccination status upon hire. Employees who are not vaccinated will be required to show a negative COVID-19 PCR test result once a week if working with clients or in our offices.
