Job Responsibilities:

Provide administrative/clerical support for the Vice-President, Claims Department.

MAJOR RESPONSIBILITIES AND AUTHORITY

Prepare and send the Vice-President, Claims’ weekly itinerary to the Executive Vice-President and record itinerary to the Executive Calendar on ShareNet.

Complete monthly Expense Report, Trip Log, and Purchase Card Reconciliation.

Schedule monthly, quarterly and miscellaneous meetings.

Prepare reports for the monthly Large Claims Review meeting with the Executive Vice-President.

Maintain Claims Department Conference Rooms’ calendar and schedule reservations.

Maintain a Claims Department staff, structure, and adjuster offices information database and filing system. Prepare and distribute queries, lists and reports to Claims and IS Department staff.

Receive written complaints against company filed with the Texas Department of Insurance (TDI) and the Better Business Bureau (BBB), assign to the appropriate department head to prepare a written response, transmit the company’s written response to TDI or BBB and maintain complaint records in compliance with TDI’s requirements.

Review Webmaster emails pertaining to the Claims Department and assign to appropriate Claims Manager for handling.

Maintain Claims/SIU/Legal & Compliance Photo Album and publish to Claims ShareNet.

Complete monthly and annual reports for the Vice-President, Claims and Executive Vice-President and send to Claims Managers and Accounting Department.

Send out correspondence to the County Farm Bureaus regarding the Municipal Fire School sponsorship program for volunteer fire departments and the TEEX Fire Extension program.

Receive the Jimmy Kendrick Scholarship applications for the Vice-President, Claims; process and submit to the scholarship selection committee.

Maintain all sponsorship records and answer any questions regarding the fire school and extension program, including requesting reimbursement checks and preparing certificates of appreciation being mailed to the volunteer fire departments.

Send correspondence and work with the Vice-President, Claims on the Annual Statewide Claims Meeting.

Maintain a record of Claims Department staff’s AICPCU/IIA and AEI course completions and professional designations earned.

Maintain Claims Department organizational chart and publish to Claims ShareNet.

Maintain records, and mail new and renewal Notary Public Commission applications to the State of Texas for employees.

Order Claims uniform shirts for qualifying Claims staff, maintain records, and review invoices.

Order stationery supplies for Claims staff in adjuster offices.

Order business cards for qualifying Claims staff.

Handle publication subscriptions for Claims Department and Executive staff.

Receive Claims Department Service Award gifts/letters from the Human Resources Department and distribute to managers for the Vice-President, Claims.

Maintain Approved Defense Attorneys list and publish on Claims ShareNet.

Update miscellaneous directories.

Compose correspondence in answer to communications based on knowledge of organizational practices and policies.

Other duties as assigned.

Job Qualifications:

MINIMUM POSITION QUALIFICATIONS:

High school diploma or equivalent; Associate Degree preferred.

Efficient clerical skills, including but not limited to a working knowledge of personal computers (including Microsoft Word, Microsoft Outlook, PowerPoint and Excel), as well as working knowledge of transcription equipment, copy machines, fax machines and other office equipment.

Experience in Claims Department terminology and a general knowledge of company operations preferred.

Excellent communication skills, both written and oral.

Strong organizational skills with ability to multitask.

PHYSICAL REQUIREMENTS

Use of PC, telephone, copy machine, fax, and other office equipment over six (6) hours per day.

Extended periods of sitting.

Occasional bending, twisting, crouching, pulling, pushing, and/or reaching to access job-related materials.

Occasional lifting and moving of items weighing up to 25 pounds.

WORKING CONDITIONS

Occasional long, irregular hours.

Occasional travel.

Work to be conducted in an office environment owned or leased by company.
