Commercial Pool Management is looking for a detail-oriented and organized Billing Coordinator to lead our client relationships include accounts receivable, bidding process management, and general customer service. Specific Duties & Skills:

This is a new role where you will be the primary team member handling the below responsibilities and reporting directly to the owner. The systems and processes are established and undergoing modernization.

Accounts Receivable: Manage the on-going process for issuing invoices and receiving payments on a monthly basis for our 160+ pools

Collaborate with management & clients to maintain accounts receivable
Utilize QuickBooks for billing processes and record keeping
Issue invoices accurately and timely distribute them electronically
Receive & record checks & ACH payments and then cash checks accurately and timely
Provide excellent customer service by responding and resolving billing inquiries in a timely manner
Request payment of pending debts in a firm yet considerate manner

Bidding Process Management: Manage project bids as they come up for one-time minor or major repairs, outside of our regular servicing contracts, for our clients

Collaborate with management to process information related to a project
Create and send estimates to clients for approval, including terms specific to project
Document and track status of bids in our customer relationship management system (CRM)
Communicate with customers to follow up on status of bid and to answer their questions
Invoice jobs according to bid terms and process payments for work

General Customer Service: Serve as our primary, initial point of contact for clients

Manage our general info email address, office phone, and voicemails
Answer questions related to client’s contract terms
Direct special requests & questions from clients to appropriate team members
Update client information and keep current as points of contact change


Proven experience in billing or related field
Proficiency in QuickBooks Online
Experience with CRM software
Excellent attention to detail and accuracy
Strong analytical and problem-solving skills
Effective communication skills, both written and verbal
Ability to work independently and meet deadlines
Confidentiality and trustworthiness
Excellent ability to organize and coordinate tasks
BSc/BA in accounting or relevant field
