Job Overview
We are a fairly new non-profit in Tulsa, serving formerally chronically homeless individuals with permanent supported housing. We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks, coordinating schedules, helping with our residnets, and supporting team management efforts. This position requires strong communication skills, proficiency in office management, compassion, flexibility, QuickBooks online experience, and the ability to handle multiple priorities effectively.
Responsibilities
Help in serving our 63 residents at Eden Village.
Manage calendars and schedule appointments for team members, ensuring optimal time utilization.
Oversee daily office operations, including administrative tasks and vendor management.
Coordinate meetings, prepare agendas, and take minutes as needed.
Maintain organized filing systems and ensure all documentation is up to date.
Handle incoming calls and correspondence, directing them to the appropriate personnel.
Maintain donar management software, Donor Perfect.
Assist in budgeting processes by tracking expenses and managing office supplies.
Support team management by facilitating communication between departments and team members.
Implement office policies and procedures to enhance efficiency and productivity.
Maintain financials using Quickbooks online, paying invoices, entering deposits, reconciling bank accounts, etc.
Qualifications
Working experience in Quickbooks online with basic accounting skills and experience.
Proven experience in an administrative role or office management position.
Strong organizational skills with the ability to prioritize tasks effectively.
Proficiency in calendar management and scheduling tools.
Excellent communication skills, both verbal and written.
Familiarity with computer and office equipment.
Experience in vendor management is a plus.
A team player, and able to be flexible.
A proactive approach to problem-solving with strong attention to detail.
A people person who thrives in a fast-paced work environment.
