Report To: Executive Director/Administrator and/or Clinical Director/Director Patient Care Services

JOB DESCRIPTION SUMMARY:

The office assistant coordinates and assists the Clinical Director/Director of Patient Care Services in maintaining the paper flow of clerical functions in the office.

Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing essential administrative support. This position requires excellent communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently. The Administrative Assistant will be responsible for a variety of tasks that contribute to the overall productivity of the office.

ESSENTIAL JOB FUNCTIONS/RESPONSIBILITUES:

1. Provides assistance to the Executive Directors/Administrator, preserving the confidential nature of items of which he/she has knowledge. He/she must maintain the files, supplies and general office conditions in an orderly manner.

2. Handles all correspondence and word processing for the hospice organization.

3. Maintains minutes of meetings.

4. Answer telephone inquiries and channel them appropriately.

5. Responsible for maintaining administrative and clerical

6. Files clinical notes after recording on the “weekly Ledger” sheets.

7. Make sure that all doctor’s order forms, and related forms are current and in compliance with Medicare and Medicaid regulations. Update all current forms in separate patient’s files.

8. Always Keep Medicare and Medicaid manuals up to date.

9. Sending doctor’s order to physicians when received from nurses for his signature. Keeps the current log of what is sent to make sure they are returned with signature.

10. Purchases and keeps postage on hand.

11. Closes outpatient’s clinical records when discharged.

12. Maintains current patients’ statistic utilizing the Management Information System.

13. Maintains ledger cards for all patients admitted for clerk’s use.

14. Other duties as assigned by the Directors.

POSITION QUALIFICATIONS:

1. Minimum of two years’ experience preferably in Hospice or Health Care or graduation from a one-year pt. two-year business college preferred.

2. Is at least eighteen years of age.

SKILLED REQUIRED:

1. Trained in customer service, highly organized.

2. Excellent in verbal & written communications skills.

3. Proficient in Microsoft office.

4. Able to prepare, write, and edit communications e.g. memos, emails, reports, correspondence independently.

5. Create and maintain filing systems, manually and electronically.

6. Good team-working with physical ability.

7. Able to type 50 words per minute.

8. Personal computer skills

9. Business machine knowledge.

10. Medical terminology.

Job Type: Full-time

Pay: $21.00 – $26.00 per hour
