Overview
This multifaceted role combines the responsibilities of an executive assistant, office manager, and travel coordinator into one critical position. The ideal candidate will be able to pivot between tasks, ensuring the office operates efficiently while providing top-tier support to the CEO. You’ll act as a key point of contact for internal teams, helping to create an organized, productive, and cohesive work environment.
Responsibilities
1. Executive Assistant:
Manage and optimize the CEO’s calendar, scheduling meetings, travel, and personal appointments.
Prioritize and adjust meetings as needed, often with short notice.
Screen, organize, and respond to emails on behalf of the CEO, ensuring timely communication and flagging urgent matters.
Assist the CEO with ad hoc projects and general administrative support, ensuring deadlines are met.
Prepare agendas, materials, and presentations for exec meetings; attend meetings to take notes and follow up on action items.
2. Office Manager:
Serve as the go-to person for any office-related inquiries, providing support to the team and helping to create an efficient, positive work environment.
Oversee day-to-day office management, ensuring that supplies and equipment are functioning properly and adequately stocked.
Maintain relationships with office vendors and service providers.
Ensure the office environment is organized and conducive to a productive atmosphere.
3. Travel Coordinator:
Handle travel arrangements for the CEO and other key personnel, including booking flights, hotels, and transportation, and creating detailed itineraries.
Track and report on expenses for travel and events, ensuring cost-effective planning and adherence to company budgets.
Assist with the execution of company events and team-building activities.
Assist with the planning of industry events and conference attendance, ensuring smooth logistics and adherence to budgets; attend as needed.
Qualifications:
3-5 years of experience in an executive assistant or office management role. Experience supporting C-suite executives preferred.
Exceptional organizational and multitasking abilities, along with strong written and verbal communication skills.
Ability to manage complex travel arrangements and events.
Cool-headed and comfortable in a fast-paced, unpredictable environment with frequent changes in priorities.
Creative, solution-oriented approach to overcoming challenges and managing competing demands.
Ability to manage multiple projects and deadlines simultaneously while maintaining a high level of accuracy.
Ability to handle sensitive information with discretion and professionalism.
Occasional travel required.
Job Type: Full-time
Pay: $60,000.00 – $70,000.00 per year
