JOB SUMMARY:
The Special Education Administrative Assistant provides clerical, organizational, and administrative support to the Special Education Department. This role supports the efficient operation of special education services, maintains accurate student records, ensures compliance with state and federal regulations, and acts as a liaison between staff, families, and district offices.
Key Responsibilities:
Administrative Support:
Organize and maintain confidential student records, both paper and electronic.
Review documentation for Individualized Education Programs (IEPs), evaluations, and re-evaluations.
Ensure timely tracking and follow-up for IEP due dates, referrals, evaluations, and compliance timelines.
Support special education staff with clerical and logistical tasks as needed.
Perform other duties as assigned by the special education directors.
Manage incoming calls and monitor facility access to ensure security and efficient communication.
Communication and Coordination:
Serve as a point of contact for parents, staff, and external agencies regarding special education inquiries.
Facilitate communication between special education personnel, general education staff, service providers, and families.
Keeps Preschool EMIS records and helps local schools collect EMIS records and report special education data.
Data and Record Management:
Input and manage data in student information systems (e.g., IEP software).
Generate reports for compliance, audits, and district/state reporting requirements.
Ensure accuracy and confidentiality of all special education documentation.
Clerical Duties:
Order and maintain inventory of special education materials and supplies.
Process purchase orders, track expenditures, and assist with budget tracking.
Assist with preparing materials for training sessions, staff meetings, and professional development.
Qualifications:
Required:
High school diploma or GED.
2+ years of experience in a clerical/administrative support role (preferably in a school or special education environment).
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and student data systems.
Strong organizational skills and attention to detail.
Ability to maintain confidentiality in handling sensitive student and staff information.
Excellent interpersonal and communication skills.
Proactive self-starter with a strong initiative to research complex, unique issues and develop effective solutions.
Preferred:
Associate’s degree or additional coursework in office administration or education.
Experience with special education software platforms (e.g., ProgressBook, SameGoal).
Knowledge of special education laws (e.g., IDEA, Section 504).
2+ years of Special Education related experience.
Experience in preparing and maintain pupil account spreadsheets and utilizing Microsoft Office Suite software packages.
Ability to review and interpret Special Education student data.
Strong accounting, data entry, organization and bookkeeping skills.
