Summary
The Administrative Assistant provides support and is responsible for supporting the implementation and maintenance of policies, procedures, and standards within the organization. This role involves ensuring compliance with regulatory requirements, coordinating audits and inspections, maintaining documentation, assisting with incident reporting and corrective actions, training record tracking, and document control activities.
Qualification and Experience
High school diploma or equivalent.
1 year experience in similar role.
Prior experience in an administrative role where interpersonal and email communication skills where essential.
Ideally, experience in the petrochemical industry.
Must possess a valid TWIC card and driver’s license, if applicable.
18 years or older and legally able to work in the U.S.
Pass a drug screen, physical, and background check.
Must be able to wear all required Personal Protective Equipment (PPE) without restriction and pass any medical examination associated with the use of said PPE.
Important Personal Skills
Possess good communication (written/verbal) skills necessary to carry out the tasks.
Possess good computer skills in Microsoft Word, Excel, and PowerPoint.
Stable work history with good references from past employers.
Languages: Fluent English (Spoken and Written) / other languages advantageous.
Ability to work with deadlines.
Ability to cope with pressure.
Able to plan and organize daily activities.
Ability to prioritize multiple tasks to efficiently manage workload.
Ability to learn new software systems and tasks quickly.
Strong attention to detail and problem-solving skills. (required)
Ability to work independently and in a highly fast-paced environment (required).
Ability to compose routine letters and to edit and proof business correspondence, reports and other business documents as needed.
Ability to understand and follow company procedures, directions and instructions given

Job Tasks
Prepares and presents routine Reports on activities and compliance with Operations Management and Customer Contacts.
Performs confidential administrative functions on occasion where reports could have moderate effect on regulatory requirements, such as typing, proofing, and assembling reports or proposals for customers (internal/external) or outside agencies.
Works with operations management to ensure TALKE meets Customer and Site requirements.
Maintains departmental records and prepares special and reoccurring reports
Maintains an administrative filing system including items that are confidential.
Arrange on-site/offsite training for employees as requested/required.
Providing real-time scheduling support by booking appointments and preventing conflicts.
Composes responses to routine inquiries and/or forwards appropriate items to manager.
Follow up on all assignments delegated by manager to subordinates as to status, completion, etc.
Tracks all pertinent HSSEQ related data, including but not limited to NLI, LI, Training Certifications, etc.
Maintains document control, repositories, and updates as required.
Performs additional duties as assigned by management.
