Full-Time Administrative Support Specialist
About the Company: Jefferson Hospital services are provided for both inpatients and outpatients, and the scope of service is consistent with the current mission of the hospital to provide quality community-based primary health care to Jefferson and surrounding counties.
Job Description: The Administrative Support Specialist provides essential administrative assistance with a specific focus on contract management and plant maintenance support. The individual will support contract workflows for services, vendors, and clinical arrangements, while helping maintain compliance with healthcare regulations.
Essential Duties/Responsibilities:
Maintain accurate filing systems (electronic and paper) for easy access and retrieval of administrative and contract documents.
Maintain a centralized log or database of active contracts and track expiration, renewal, and compliance milestones.
Assist in drafting, reviewing, and routing contracts for healthcare services, vendors, and business associates.
Monitor contract lifecycle events such as renewal notices, termination windows, and key deliverables.
Monitor vendor and partner compliance with contractual obligations.
Provide training and support to staff on contract procedures and tools.
Assist in coordinating and scheduling maintenance requests, inspections, and work orders.
Maintain organized records of contracts, safety inspections, service reports, and regulatory documentation.
Assist with tracking preventive maintenance schedules and maintaining PM logs.
Assist with tracking of equipment / fixed assets.
Support compliance with DNV, OSHA, CMS, fire safety, and infection control regulations.
Help prepare reports for environmental rounds, life safety surveys, and regulatory audits.
Maintain Material Safety Data Sheets (MSDS/SDS) and ensure they’re up-to-date.
Input and update facility information in computerized maintenance management systems (CMMS).
Assist in scheduling and confirming vendor appointments for equipment service, repairs, and inspections.
Coordinate facility access, security clearances, and badging for outside contractors
Position Requirements:
High school diploma or equivalent required; Associate’s or Bachelor’s degree in business, healthcare administration, or related field preferred.
2+ years of administrative or contract support experience, preferably in a healthcare, hospital, or clinical environment.
Proficiency with Microsoft Office Suite (especially Word, Excel, Outlook); experience with contract or document management software preferred.
Strong organizational and time management skills with a high level of attention to detail.
Ability to handle sensitive and confidential information with discretion.
