GENERAL DESCRIPTION: Perform highly complex (senior-level) supervisory, administrative and technical work to accomplish assigned objectives related to program operations of the Driver License Division. Work involves establishing program goals, and objectives; developing program guidelines, procedures, policies, rules, and regulations; developing schedules, priorities, and standards for achieving program goals; and monitoring, coordinating and evaluating program activities. Plan, assign, and supervise the work of others. Work is performed under limited supervision with moderate latitude for the use of initiative and independent judgement.

ESSENTIAL DUTIES / RESPONSIBILITIES
1. Provide phone coverage and respond to escalated customer inquiries and resolve issues; distribute documents; and plan/schedule/coordinate appointments.
2. Prepare, review, track and coordinate correspondence and personnel-related documents, Human Resource Actions, and performance evaluations.
3. Update manuals and maintain employee records; act as notary for statements, complaints, depositions, etc.
4. Initiate and coordinate action to fill vacancies, serve on interview boards, and provide applicant acceptability.
5. Create, maintain and review internal communication documents, files, and reports.
6. Prepare, interpret, and disseminate information regarding internal rules, policies, regulations, and procedures.
7. Review and process documents, procurements and payments for supplies, services, contracts.
8. Serve as Timekeeper.
9. Prepare travel vouchers.
10. Prepare and submit Computer Security and/or Local Security Administrator request.
11. Attends work regularly and observes approved work hours in accordance with agency leave and attendance policies.
12. Perform other duties as assigned.
Qualifications
GENERAL QUALIFICATIONS and REQUIREMENTS
Education – Minimum of a High School Diploma or equivalent required.
Experience – Minimum of four (4) years’ progressively responsible Administrative Assistant/office support experience required.
Substitution Note: Additional work experience of the type described or other related education may be substituted for one another on a year-for-year basis.
Licensure and/or Certification – If driving is required must possess a valid driver license.
Regulatory knowledge – Working knowledge of, or the ability to rapidly assimilate information related to TXDPS, State, and Federal regulations, legislation, guidelines, policies and procedures. Knowledge of State records retention parameters. Analytical skills – Must be analytical, detail-oriented, and able to multi-task without sacrificing accuracy or timeliness. Ability to analyze problems, identify causative factors, and apply actions to effectively resolve current issues and prevent recurrences of problem conditions.
Interpersonal skills – Must exercise excellent interpersonal skills – position continually requires demonstrated poise, tact, diplomacy, and an ability to establish and maintain effective working/professional relationships with internal and external customers.
Presentation/Communication skills – Must be able to effectively communicate and present information and/or training to individuals and a wide variety of audiences. Must be able to produce clear, concise, and professional documents, reports, and presentations.
Organizational skills – Must be organized, flexible, and able to prioritize in a multi-demand and constantly changing environment. Demonstrated ability to meet multiple and sometimes conflicting deadlines without sacrificing accuracy or timeliness; ability to work independently and exercise initiative to accomplish job functions; and demonstrated ability to understand and effectively apply complex oral and written instructions and procedures.
Computer systems / hardware / software – Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and able to learn new software/systems as applicable to the position.
Confidentiality – Must be able to responsibly handle sensitive and confidential information and situations.
Schedule – This position requires the possibility of extended work hours as early as 7:00 am to as late as 10:00 pm. Weekend work may be required.

A DPS employee who is selected for a position in the same salary group and state title as their current position will be transferred with no salary change.
A DPS employee who is selected for a position in their current salary group with a new state title may receive an increase of no more than 3.4% over their current salary regardless of posted salary.
Salary is contingent upon qualifications and is subject to salary administration and budgetary restrictions.
