We are seeking an organized and detail-oriented HR Administrative Executive to join our team. The successful candidate will be responsible for the efficient day-to-day management of administrative functions, including invoice processing, travel management, office management, mail distribution, requisition handling, and employee engagement activities. Additionally, the Admin Executive will be responsible for creating and maintaining Power BI dashboards to track and report key performance metrics. This role demands strong multitasking abilities, excellent communication skills, and a proactive, problem-solving approach.

Scope:

Verify and process incoming invoices, ensuring compliance with company policies and procedures

Collaborate with the finance team to track payments, manage records, and resolve discrepancies

Maintain accurate financial documentation for audits and reporting

Coordinate and arrange travel logistics including flights, accommodations, and ground transportation

Develop and maintain travel itineraries while adhering to budgets and travel policies

Ensure timely processing of travel claims, reimbursements, and other relevant documentation

Oversee general office operations, including office equipment maintenance, vendor liaison, and office supplies procurement

Ensure a clean, safe, and well-organized office environment

Manage and supervise any office support staff or reception services

Sort and distribute incoming mail, packages, and courier deliveries promptly

Arrange outgoing mail and courier services, ensuring accurate documentation and timely dispatch

Manage requisitions for office supplies, equipment, and other necessary resources

Coordinate with vendors to secure competitive pricing and maintain cost-effectiveness

Keep meticulous records of requisition orders and stock levels

Collaborate with HR and management to plan and execute employee engagement activities, events, and initiatives

Maintain communication channels that keep employees informed and encouraged

Develop and maintain Power BI dashboards to track and visualize key performance indicators (KPIs)

Provide general administrative assistance to various departments as required

Handle confidential information with discretion and professionalism

Qualifications:

Bachelor’s degree in Business Administration, Management, or a related field preferred

At least 2-3 years experience in office administration or a similar role

Excellent organizational and multitasking skills

Strong verbal and written communication skills to liaise effectively with internal teams and external vendors

Attention to detail and problem-solving skills

Ability to work independently and proactively

Strong time management skills with the ability to prioritize tasks effectively

High level of professionalism and discretion

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Experience with Power BI or similar business intelligence tools is highly desirable
