Description
The Office Administrator plays a vital role in ensuring the effective functioning of the office environment. This position involves a wide range of administrative and clerical tasks, as well as providing support to various departments and staff members. The Office Administrator is responsible for maintaining an organized, efficient, and welcoming office atmosphere.
Key Responsibilities
Manage and maintain office records, documents, and files.
Answer and direct phone calls, emails, and inquiries to appropriate personnel.
Schedule and coordinate appointments, meetings, and conferences.
Prepare and distribute memos, reports, and correspondence as needed.
Open and distribute incoming mail.
Assist in the preparation of presentations and reports.
Ensure the office is clean, organized, and well-stocked with supplies.
Enter data into computer systems and databases.
Generate and update reports or PowerPoint decks as required.
Streamline invoicing processes to enhance efficiency and reduce errors.
Help coordinate employee events and activities.
Greet and assist visitors, clients, and customers.
Handle inquiries and provide information about the organization’s products or services.
Provide support for the Accounts Receivable department and sending out invoices and statements.
Oversee the Billing Outlook inbox and direct customer needs.
Assisting the sales department with the preparation of documentation.
Work closely with Human Resources, assisting in Welcome Packets for new hires.
Point person for the business to contact for life events.
Other duties as assigned
Skills, Knowledge and Expertise
High school diploma or equivalent; additional education or certification is a plus.
Proven experience in office administration or a related field.
Proficiency in office software (e.g., Microsoft Office) and computer literacy.
Strong communication and interpersonal skills.
Excellent organizational and multitasking abilities.
Attention to detail and accuracy.
Knowledge of basic accounting principles may be beneficial.
