EXECUTIVE ADMINISTRATIVE ASSISTANT
The Administrative Assistant/Account Coordinator will have responsibility and accountability for supporting the assigned executive. The Account Coordinator’s responsibilities include but are not limited to handling various administrative and clerical tasks to help ensure the Executive’s efficiency, ensuring all incoming communications are addressed promptly and appropriately, and helping support the overall mission of Alliance Facility Services.
Key Responsibilities:
· Organize and schedule appointments, meetings, and travel arrangements.
· Answer and direct phone calls, respond to emails and handle correspondence.
· Prepare and distribute memos, letters, faxes, and forms. Maintain filing systems and update records.
· Plan meetings, take detailed minutes and follow up on action items.
· Greet and assist visitors, providing a welcoming environment.
· Assist in the preparation of reports and presentations.
· Act as a point of contact between executives, employees, and external partners.
· Develops a strong and effective professional relationship with clients, peers, and field operations.
· Day-to-day documentation tracking and control of all assigned portfolios and other assigned tasks -while maintaining all company documents with a high level of accuracy and attention to detail.
· Creates company documentation and paperwork in compliance with Alliance Facility Service standards to support the company’s mission.
· Takes ownership of assigned special projects from conception to completion.
· Preserves strict confidentiality of sensitive, private, and personal information.
· Performs other duties as assigned by supervisor.
Skills, Qualifications, & Experience:
· Ability to successfully pass a background check.
· Possess a High School Diploma or GED.
· Possess a valid Driver’s License.
· Minimum One (1) year of customer/client relationship experience.
· Possess excellent written and verbal communication skills.
· Effective multi-level interpersonal communication skills.
· Ability to adapt quickly to a rapidly changing environment.
· Proficient skill set with Microsoft programs (Excel, Word, etc.).
· Strong time management skills.
· Projects pride in completed work and strives for excellence.
· Ability to work independently and/or in a team environment.
· Strong research and critical thinking skills.

Job Type: Full-time
Pay: $45,000.00 – $52,000.00 per year
