Summary:
The key responsibility of a Project Administrator is to provide operational and administrative support to the Project Coordinator, including backing-up the Project Coordinator when needed. The Project Administrator communicates thoroughly with various departments to keep everyone informed about any changes to the project plan. This role’s main focus is to execute project tasks to provide a smooth flow of progress throughout the project until completion.
Key Responsibilities:
Communicates with Project Coordinator and floor lead on project details and changes
Partners with Special Projects team to address any issues and redirect project plan if needed
Builds PF (Production Fulfillment) records for projects that the Special Projects team uses to fulfill projects
Updates PF records with new or changing information
Communicates with Special Projects Floor Lead on a regular basis with updates, information, and changes
Communicates project information and providing paperwork/labels to Special Projects team
Manages project schedule and updating daily for the team
Resolves issues with Sales on projects and provides alternatives when needed
Ensures projects are getting out on time and hitting event dates, ensuring they are done correctly
Quotes freight cost when requested by Sales
Works with Inbound team to retrieve incoming goods for projects
Provides Sales with tracking information on projects that have been shipped
Notifies Sales of delays in goods in production or delays from carriers if information available
Required Experience:
Flexible, excellent communication, administrative abilities and knowledge of computer applications
Previous work experience in roles within the Project Management field
Strong organizational and multi-tasking skills
Some knowledge of WMS environment/system; NetSuite experience a plus
Good analytical and problem-solving skills
Must be detail oriented and dependable
Excellent communication and interpersonal skills capable of maintaining good relationships
Time management skills with the ability to meet deadlines
Proficient in MS office (Word and Excel specifically)
Ability to determine priorities and accomplish multiple tasks with minimal supervision
Facilitate production flow through employee assignments and delegation
Ability to work well under pressure without sacrificing quality
Must be able to lift up to 50 lbs.
Able to walk, stand, push, pull, reach, bend, stoop, climb, carry 100% of the day
