SUMMARY
The Administrative Assistant Senior will provide executive-level administrative and secretarial support to Charlotte Water Director as well as the Leadership Team. Work involves managing schedules and travel arrangements; ensuring that important meetings are covered; handling a variety of sensitive and confidential materials; distributing mail; maintaining files; organizing events; composing correspondence and documents; and performing research. This position effectively and courteously interacts with employees at all levels, the public, council members, and internal as well as external customers.

ESSENTIAL JOB FUNCTIONS:
Provides executive level administrative and secretarial support.
Maintains Director’s schedule; coordinates and schedules meetings and travel arrangements; coordinates conferences as needed; and resolves meeting conflicts.
Ensures that meetings are covered; takes notes; and transcribes minutes.
Handles a variety of sensitive and confidential materials.
Investigates requests and complaints received; refers to the appropriate person for resolution.
Handles escalated customer complaints.
Monitors email and keeps Director informed of critical needs.
Maintains and updates record filing systems; handles mail and files.
Composes, reviews, and proofs assigned correspondence and documents; obtains required signatures when needed.
Compiles data; conducts research.
Interacts with employees at all levels, City Council, and the public.
Completes special projects.
Reconciles various financial transactions, such as travel authorizations, expense reports, P-Card activity, reimbursements, etc.
Performs other related job duties as assigned.
Knowledge, Skills, and Abilities:
Knowledge (or obtain in a reasonable amount of time) of the laws, rules, regulations, and policies that impact Charlotte Water.
Knowledge of the principles and methods of office management and of modern office procedures, systems, and equipment.
Knowledge of business English, spelling, punctuation, and arithmetic
Skill in using Microsoft Office Suite including Outlook, Excel, Word, Publisher, and PowerPoint.
Skill in performing clerical functions, such as typing, data entry, and filing.
Ability to maintain calendars and make appointments in Outlook.
Ability to work independently on responsible and confidential, high level administrative assignments and secretarial tasks.
Ability to establish and maintain effective working relationships with department employees, other city departments, and the public.
Ability to take, transcribe, and type complex dictation accurately and rapidly.
Ability to compose effective and accurate correspondence.
MINIMUM REQUIREMENTS TO PERFORM WORK:
High school diploma or GED from an accredited school; supplemental college-level coursework preferred
Three (3) years of related work experience providing high-level Secretarial/administrative support.
Requires a valid driver’s license. Must be able to obtain and maintain city’s drivers permit.

PHYSICAL DEMANDS:
The work is sedentary work and requires exerting up to 10 pounds of force occasionally to move objects. Additionally, the following physical abilities are required: balancing, manual dexterity, handling, hearing, kneeling, mental acuity, pulling, reaching, repetitive motion, speaking, standing, stooping, talking, visual acuity, and walking.

CONDITIONS OF EMPLOYMENT
The City’s Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte. The type of information that will be collected as part of a background check includes, but is not limited to: reference checks, social security verification, education verification, criminal conviction record check, and, if applicable, a credit history check, sex offender registry and motor vehicle records check.
Background checks must be in compliance with all federal and state statutes, such as the Fair Credit Reporting Act (FCRA). The checks must be consistent with the guidelines set forth by these laws requiring organizations to obtain a candidate’s written authorization before obtaining a criminal background report, motor vehicle records check or credit report; and to properly store and dispose of information derived from such reports.
Final candidates must pass a pre-employment drug-screening test and physical examination. During the selection process, candidates may be asked to take a skills test, and/or participate in other assessments.
