Job Summary:

We are seeking a detail-oriented Administrative Assistant to join our team. The ideal candidate will provide administrative support and assist in various HR functions within the organization.

Responsibilities:

Assist management in finding creative ways to help office staff work productively and meet deadlines.

Counseling any employees struggling in their roles

Answering telephone calls and emails from customers and clients and directing them to relevant staff

Monitoring office supplies

Interviewing and training new office employees and organizing their employment paperwork.

Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order.

Reporting office progress to senior management and working with them to improve office operations and procedures.

Assist any office employees to meet deadlines or complete urgent tasks.

Ensure job descriptions are up to date and compliant with all local, state and federal regulations.

Develop training materials and performance management programs to help ensure employees understand their job responsibilities.

Create a compensation strategy for all employees based on market research and pay surveys; keep the strategy up to date.

Investigate employee issues and conflicts and bring them to resolution.

Ensure the organization’s compliance with local, state and federal regulations.

Use performance management tools to provide guidance and feedback to team.

Ensure all company HR policies are applied consistently.

Maintain company organization charts and employee directory.

Partner with management to ensure strategic HR goals are aligned with business initiatives.

Maintain HR systems and processes.

Conduct performance and salary reviews.

Provide support and guidance to HR staff.

Analyze trends in compensation and benefits.

Design and implement employee retention strategies.

Facilitate regular team meetings to ensure cohesiveness and a culture of accountability and communication.

Preferred Skills:

● Strong written and verbal communication skills to produce reports, assign tasks, accept instructions among other tasks.

● Organization and the ability to multitask to complete a wide variety of tasks.

● Flexibility to help them adjust to new tasks should company or office needs change.

● Strong interpersonal skills to interact positively with all employees.

● Leadership ability to manage challenges and oversee employees.

● Attention to detail to ensure tasks are completed thoroughly and correctly.

● Effective verbal and written communication skills

● Demonstrated proficiency in the Microsoft Office suite.
