Human Resources Administrative Assistant Jobs in United States at City of Boston
GENERAL SUMMARY
Responsible for answering multi-line phones, directing calls or taking messages, directing walk-ins to the appropriate department, and assisting with questions or concerns regarding City businesses, directions, etc. Ordering supplies for departments. Taking payments and recording daily deposits in the computer system. Providing administrative support for City Hall staff. Create flyers for City closures, etc. Maintain Notices bulletin board in the City Hall lobby.
Receptionist Duties:
Answer City Hall phone lines, transferring calls or taking messages as necessary
Directs City Hall visitors to the proper department
Collects payments and issues receipts (i.e. cemetery plots, retiree insurance, telecommunication fee payments, etc.)
Post all payments taken daily & prepare deposits
Creates and distributes monthly City Hall event calendar to City Hall staff, council
members, and department heads
Process job applications
Creates and displays public communications (i.e. closing early, certificates, public info, etc.).
Responsible for opening and closing procedures for the front foyer area
REQUIRED EDUCATION, DEGREES, CERTIFICATIONS, AND / OR LICENSES
Education and Experience
High School Graduate or GED equivalent required.
One to two years of receptionist or administrative assistant experience required
One to two years experience in Microsoft Outlook, Word, and Publisher required
Prior customer service experience required

Required Knowledge, Skills, and Abilities
Knowledge of:
Modern office procedures, methods, and computer equipment.
Principles of business letter writing and basic report preparation.
Principles and procedures of filing and record keeping.
English usage, spelling, grammar, and punctuation.
Basic mathematical principles.
Ability to:
Perform secretarial work involving the use of independent judgment and personal
initiative.
Independently prepare correspondence and memoranda.
Work independently in the absence of supervision.
Establish and maintain effective working relationships with those contacted in the course
of work.
Read, analyze, and interpret reports and documents
Excellent oral and written communications skills; problem solving and conflict mediation
Establish effective and courteous working relationships with public and other City
departments, ability to act with tact and impartiality
Skill:
Type at a speed necessary for successful job performance
Plan, organize and schedule office priorities
Work on the computer and applicable software programs (i.e. Microsoft Officer,
Publisher, Printshop, Internet Explorer, etc.)
