Human Resources Administrative Assistant Jobs in Richmond, VA at Attorney General & Dept of Law

Boone Memorial Health is seeking a detail-oriented HR Administrative Assistant to provide essential support to our Human Resources department. This role is responsible for handling administrative tasks related to payroll support, timecard management, document filing, scheduling, and employee health record maintenance. The ideal candidate is highly organized, professional, and capable of maintaining confidentiality in a fast-paced environment.

Key Responsibilities:
HR Administrative Support
Assist with payroll processing by verifying and inputting timecard data, ensuring accuracy, and resolving discrepancies.
Manage timecard corrections, employee attendance records, and related documentation.
Maintain and organize employee personnel files in compliance with federal and state laws.
Scan, file, and manage confidential HR documents, including employment records, benefits paperwork, and compliance documentation.
Process and update employee status changes in HR systems.
Assist in coordinating employee training compliance and certification tracking.
Respond to basic HR-related inquiries and escalate complex issues to the appropriate HR personnel.
Provide administrative support for HR projects, policies, and compliance audits.
Employee Health Administrative Support
Scan, file, and maintain employee health records in accordance with privacy regulations.
Assist in scheduling employee health screenings, physicals, and follow-ups.
Track and organize vaccination records and compliance documentation.
Maintain confidentiality of medical files in compliance with HIPAA regulations.
Provide general administrative support to the Employee Health department, including data entry, reporting, and correspondence.
Qualifications:
Education: Associates degree in Business Administration, Human Resources, or a related field preferred.
Experience: Minimum of 2 years of administrative support experience; HR, payroll, or healthcare administration experience is a plus.
Skills & Competencies:
Strong organizational and time management skills.
Excellent verbal and written communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HRIS/timekeeping systems.
Understanding of federal and state employment laws related to recordkeeping and payroll compliance.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
High level of professionalism, confidentiality, and attention to detail.
Strong problem-solving skills and ability to work both independently and collaboratively.
