Job Summary

We are seeking an HR Operations candidate to support a construction/engineering workforce project in Hanoi for our client. This role is the bridge between our company and HR service agencies, ensuring smooth end-to-end HR operations, especially around recruitment workflow, documentation, and process execution.

You will also support Head HR & Business Operations with project/operations tasks whenever the team’s experts are on-site, ensuring everything is well-organized, tracked, and delivered on time.

Key Responsibilities

A) Agency Coordination & Recruitment Operations (Core)

  • Serve as the main point of contact between the company and HR service agencies.
  • Coordinate and track the end-to-end recruitment workflow, including: shortlist readiness & candidate updates; interview scheduling support; offer processing support; onboarding document collection and status follow-up.
  • Maintain clear timelines (SLA), pipeline status, and action logs using trackers (Excel/Sheets or tools).
  • Ensure candidates and agency deliverables meet project requirements and submission standards.

B) Paperwork & Documentation Support

  • Support the preparation, validation, and tracking of candidate documents based on a checklist (onboarding documents and project-required paperwork).
  • Identify missing/incorrect documents early and coordinate with internal teams/candidates/agency to resolve issues quickly.
  • Keep documentation organized and ensure all items are completed in a professional, audit-ready manner.

C) Process Management & HR Operations Improvement

  • Standardize HR operations processes by improving templates, checklists, email wording, and workflows to make delivery fast and consistent.
  • Proactively flag bottlenecks/risks (e.g., delayed submissions, incomplete documentation) and propose solutions.
  • Provide periodic reporting to Head HR & Business Operations (e.g., weekly status, pipeline, conversion highlights, risks).

D) Project/Operations Support for Expert On-site

  • Support Head HR & Business Operations with operational tasks when experts are onsite, such as: coordination of schedules/meetings; action tracking across stakeholders; document preparation and logistics support; ensuring smooth execution of onsite activities

Requirements

  • 2–4 years experience in HR Operations / HR Admin / Recruitment Coordination / HR Project operations/HRBP or related roles.
  • Strong ability to manage multiple tasks and deadlines with clear logic and structure.
  • Strong English (able to read/write professional emails, coordinate with agencies, and communicate clearly).
  • Proactive, fast, professional working style; attention to detail and accuracy.
  • Experience working with Excel/Google Sheets and maintaining trackers/process documents.

Nice to have:

  • Experience in agency coordination, workforce recruitment, or projects related to engineering/construction.
  • Familiarity with onboarding paperwork processes and HR compliance basics.
