Position: Hybrid Administrative Assistant/Office Manager at Global Firm

Location: New York

A premier transatlantic legal search firm that places partners and groups at the world’s leading law firms is seeking a Knowledge Manager. This hybrid role involves working 2 days in the office and as needed. The Knowledge Manager will be part of a global knowledge management task force. The New York City office is a close-knit team of 12 employees, offering room for growth.

The company emphasizes flexibility to support work-life balance and prioritizes family and health. The office is located on Sixth Avenue near Rockefeller Center.

About the Job:

Collect information from recruiters, Knowledge Managers, and Strategic Researchers for data entry.

Enter data from source documents into prescribed databases (SharePoint and Invenias).

Check source documents/data for accuracy.

Verify and correct data as necessary.

Obtain additional information for incomplete documents or entries.

Update and archive data appropriately.

Rearrange data from source documents when required.

Transcribe information into electronic formats.

Review completed work for accuracy.

Store documents in designated locations.

Respond to information requests and access relevant data.

Ensure compliance with data integrity and security policies.

Collaborate with the local Knowledge Management team to support recruiters and managers administratively.

Manage office needs, including inventory, equipment maintenance, and handling phone calls.

Assist with research requests under guidance from Knowledge Managers, Researchers, or Recruiters.

About You:

Minimum of 3 years of experience in a support role.

BA/BS degree from a college or university is a plus.

Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook), Adobe, and CRM systems.

Experience in law firms, legal or executive search, or professional services industries is a plus.

Highly responsive, flexible, solutions-oriented, and proactive.

Excellent written and verbal communication skills.

Strong research and data analysis skills.
