Houston Zoo is seeking candidates to join the facilities department as an office coordinator. The role of the office coordinator will involve providing support for Facilities staff as necessary for running daily operations. Supporting the Office Manager with various clerical tasks and key functions to ensure maximum efficiency. Assisting with Asset Essentials to organize and update the work order system.

Job Duties and Responsibilities:
Maintains office organization through file maintenance, ordering supplies, making copies, managing calendars, etc.
Maintains office brand and functionality to assist staff in a clean and organized environment.
Submits work orders for any necessary repairs or changes to building equipment, furniture, etc. for office buildings.
Maintains copy room, ensuring an accurate inventory of department supplies, filing, and other miscellaneous supplies needed.
Assists with record-keeping for all buildings, structures, grounds, systems, and site furnishings. Records include close-out documents, outstanding work orders, as-built documentation, permits, warranties, and other paperwork associated with Facilities operations.
Responsible for administrative support of the Asset Essentials work order system, including creating logins for staff, facilitating training for staff submitting work order requests, and inputting equipment data.
Analyzes data and reports on trends for Asset Essentials, providing weekly reporting to Office Manager and department supervisors.
Partners with the end users for facilities services to properly communicate the receipt, status, and completion of work orders daily. Provides updates to the department supervisors.
Oversees Facilities Special Events calendar and work orders.
Oversees and coordinates staff events for Facilities, Horticulture, Grounds and Housekeeping departments.
Works with Facilities and the Design and Engineering team to maintains, update, and support the continued development of these records in the GIS (Ground Identification System).
Contributes to saving animals in the wild through reduction of waste, water and energy use and inspiring guests and staff to take wildlife-protecting actions.
Performs other duties as assigned.
Education and Experience:
High school diploma or GED required.
3 years of administrative experience in an office environment required along with Facilities operations experience.
Ability to multitask multiple projects within a fast-paced environment maintaining sensitivity of stated timeline and due dates.
Must have a valid Texas driver’s license and comply with Houston Zoo’s policy on driving.
Strong computer skills required, including proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and database programs.
